Seeking a Senior Support Specialist with a bachelor s degree and at least 4 years experience in all aspects of office management and administrative support. The working location is Washington DC. Successful candidates will have the following skills: Bachelor s degree and relevant experience in office management and administrative support; High proficiency level in the use of Microsoft Word, Excel, Outlook and PowerPoint software applications; Ability to communicate orally and in writing in a multimedia environment; Ability to learn proprietary computer applications as necessary; Ability to work independently or as part of a team; Proven skills in researching material; Attention to detail and willingness to learn new concepts. Job responsibilities will include but not be limited to: Primary Responsibilities: The Support Specialist will be primarily responsible for support of a government agency. This will include the following major tasks: Update multiple tracking systems for various loans and guarantees monitored by the agency; Respond to data requests from officers and create reports using various trackers; Schedule meetings and phone calls between Officers, other personnel, Obligors under the program, and other stake holders; Maintain division records and files; prepare for division visitors; enter time and attendance information and status reports; organize electronic filing system for the division and implement records management policies as directed; Assist in providing ongoing drafting, layout, quality control, publication, distribution, and retention services for division documents and presentations submitted to senior managers, officials, boards, and organizations of the agency, as well as other branches of the Federal Government; Act as a primary or secondary note-taker at meetings. If performing as secondary note-taker, review the notes of the primary note-taker, editing the notes, and archiving the final draft. Process requests and make arrangements for approved travel; Federal travel processing experience a plus. Process expense claims; maintain travel and vacation records for Federal and Contractor staff; Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs and appropriate maintenance, and maintaining supply inventories; Provide main-line phone coverage at various times during the day, set up meetings; arrange for conference rooms, audio/visual equipment and outside phone lines; provide routine telephone and person to person reception and greeting of clients and visitors. Distribute documents and mail; dispose of burn bags in accordance with government security and recycling procedures; Perform a variety of clerical and secretarial duties requiring knowledge of office routine and an understanding of the organization, and procedures related to the work of the office. Demonstrates ability to be self-directed, take initiative, anticipate and address needs, as well as see projects through to completion Proactively solves administrative problems and creates effective solutions. Secondary Responsibilities: Provide back up to fellow team members to be determined by the Project Manager from time to time and other tasks as required under the contract of services to the agency. Provide administrative support, as determined from time to time, under direct guidance from assigned officers; Special Skill Sets: Bachelor s degree and relevant experience in office management and administrative support; High proficiency level in the use of Microsoft Word, Excel, and PowerPoint software applications; Ability to communicate orally and in writing in a multimedia environment; Ability to learn proprietary computer applications as necessary; Ability to work independently or as part of a team; Proven skills in researching material; Attention to detail and willingness to learn additional concepts; Applicants will have strong oral and written communication skills, focus on details, and be able to work independently and as part of a team. Prior to employment a background investigation by the Federal Government will be conducted. Subsequent reinvestigations may be required. Applicants are subject to tests for illegal drugs. This is a part-time position, Monday-Friday.
