Special Assistant to the Executive Director - The Beeck Center for Social Impact + Innovation

The Beeck Center for Social Impact + Innovation at Georgetown University seeks an organized and high functioning Executive Assistant as we move from our early "startup" phase to a "scale up" strategy. We are looking for an organized and detail-oriented individual who will bring administrative and operational rigor to executing tasks to support the Executive Director and meet the growing needs of the organization.

The Executive Assistant plays a critical role in the successful operations and functioning of the Beeck Center and serves as a key resource for the Executive Director and senior leadership team. The primary responsibility is to support the Executive Director, including administrative and analytic support in a wide variety of areas including executive liaison with the Board and management team, correspondence creation, calendar maintenance, strategic coordination of organizational efforts, development of materials for meetings, events and fundraising documents. The secondary responsibility is to facilitate day-to-day operations of the Beeck Center. The Executive Assistant is someone who is highly organized, learns quickly and adapts, prioritizes tasks, identify solutions, and has the ability to work both independently and with a small team while demonstrating a high degree of professionalism, initiative and creativity. The ideal candidate has a strong track record of experience working in an administrative and operations capacity within the social impact sector, is a self-starter, excellent project manager, and highly organized multi-tasker. The Executive Assistant reports to the Executive Director with a dotted line to the Managing Director on certain activities or special projects. They will work on projects and gather and disseminate information to appropriate staff within the Beeck Center. Duties include but are not limited to:

Executive and Administrative Support

  • Manages Administrative Tasks. Completes a broad variety of administrative tasks for the Executive Director including: managing an active calendar of appointments; completing expense reports; arranging travel plans, itineraries and agendas; keeping track of board meetings, updates and board calls.
  • Provides Analytical Support. Analyzes, assesses and prioritizes key issues and ensures ED does follow-up from board meetings, calls, preparations; tracks the progress and action items of key meetings (e.g., fundraising, key stakeholders, etc.); and ensures leadership team is continually updated on key action items and progress resultant from meetings.
  • Handles Invitations. Prioritizes incoming invitations for the ED, does research and provides recommendations, and raises issues and concerns to the Managing Director.
  • Coordinates Communications. Facilitates good communication of key decisions, activities, and meetings from senior leadership to the rest of the Beeck Center; liaises with internal and external departments at the University e Delivers outcomes. Prioritizes critical tasks and aspects of deliverables and executes proactively, communicating if there are any issues or time delays in advance. Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion.
  • Facilitates meetings. Coordinates and facilitates internal Beeck Center team meetings as necessary including internal team pulse checks that ensure a strong feedback culture.

Office Management

  • Supports office and HR management. Takes leadership on answering calls and correspondence; organizing incoming mail; maintaining Center files; and provides support as needed on expense and revenue tracking (honoraria, speaking fees, etc.) for the ED.
  • Provides Human Resources Support. Supports hiring and time reporting of staff and students for the Center as needed, as well as contract support for the engagement of individuals (e.g. fellows, researchers, guest lecturers, etc.) and vendors.

Qualifications

  • Bachelor's degree
  • At least 1 year, preferably 2 years, of work experience
  • Experience in organizational management
  • Experience in office management practices and organization
  • Ability to provide back-up Human Resources management, including hiring, reporting, and coordination with University functions
  • Proficient in Microsoft Office Suite - Word, Excel, and PowerPoint applications
  • Ability to manage, and be both organized and flexible, in a complex, multi-faced environment that requires continuous monitoring of priorities
  • Exceptional communications skills, to include maintenance of confidentiality
