This position works out of the Pennino building. Provides administrative support to the Department of Family Services (DFS), Children, Youth and Families (CYF) Division. Manages and oversees the administrative support functions and staff for Child Protective Services (CPS). Serves as the lead Administrative Assistant and supervisor of administrative staff assigned to the program area. Performs complex administrative functions associated with the assigned program area. Performs special projects including research, and preparation of reports and correspondence. Develops systems for recordkeeping and collection of program data. Determines, reviews, and modifies administrative policies, procedures and methods to improve practices within assigned program area. Manages the administrative processes within prescribed program area including development and implementation of policies and procedures, and coordination with other CYF programs. Manages equipment and supplies. Serves as the administrative assistant to the program manager. Supervises administrative assistants in units in conjunction with unit supervisors. Serves as the CPS Appeals Coordinator. Schedules and coordinates all activities related to the local appeals conferences, including communication with attorneys, clients, county attorneys, CPS workers, CPS supervisors, and the local Hearing Officer. Duties are performed under the general supervision of the administrative manager. Travel to other Department of Family Services (DFS) regional offices will be required.

Functional areas include: supervising, general administrative support and/or Appeals Coordinator for Child Protective Services (CPS).

Employment Standards

MINIMUM QUALIFICATIONS:
Any combination of education, experience and training equivalent to high school graduation and three years of experience providing administrative support in the assigned functional area(s).

CERTIFICATES AND LICENSES REQUIRED:
Not applicable.

PREFERRED QUALIFICATIONS:

  • Front-line administrative and customer service experience supporting staff in a Human Services environment.
  • Experience with Microsoft Applications and enterprise systems such as SAP, SharePoint, OASIS, Electronic Management Systems, etc.
  • Previous supervisory experience of staff.

NECESSARY SPECIAL REQUIREMENTS:
The appointee to the position must complete a criminal background check and a Child Protective Services Registry check to the satisfaction of the employer.

PHYSICAL REQUIREMENTS:
Duties are generally sedentary and performed in a normal office environment. Ability to use automated technology for extended periods of time. Ability to communicate both orally and in writing. Visual acuity to review detailed documents. Ability to lift up to 15 pounds. All duties performed with or without reasonable accommodations.
