Westat's research, technical, and administrative staff of more than 2,000 is located at our headquarters in Rockville, Maryland, near Washington, DC.

Job Summary:

Westat is seeking an administrative assistant to support the Office Systems unit. You will be providing support to multiple divisions within the unit.

Job Responsibilities:

· Monitor phones and staff availability; maintain work and vacation schedules calendar; distribute mail; handle routine phone calls & messages; inventory and order supplies. · Learn Westat business processes for routine activities and forms, and assist area staff in the execution of said processes (e.g., expense reports, vendor invoices, etc.). · Maintain organized records, including routine unit procedures and best practices. · Schedule meetings, events, and training classes in outlook; coordinate logistics, catering, and facilities. · Maintain class database and populate intranet calendar with classes, descriptions, dates and times. · Use Access queries to produce reports regarding attendance and classes provided. · Sign loaner equipment in/out; ensure clients understand the equipment, password, and usage guidelines. · Provide light troubleshooting assistance for common end-user questions/issues. · Proof documents, including fact sheets, newsletter articles, meeting minutes, etc. · Compose and/or edit documents and news items for company newsletter and intranet. · Research ad hoc issues (via Internet, phone calls, and/or subject matter experts) and prepare summary of findings.

Basic Qualifications:

· A High School diploma. · A minimum of 2 years of work experience in customer service roles. · At least 1 year experience working with databases or data reporting systems.
Candidates must have the ability to exercise good judgment in a variety of situations, excellent written and verbal communication skills, strong administrative and organizational skills, and excellent attention to detail. Demonstrated ability to work independently on projects and to follow-up as needed, to multi-task, and to prioritize work while meeting deadlines is also desired.  Proficiency using Microsoft Office (Outlook, Word, Excel, Skype, Access, and PowerPoint), Adobe Acrobat, and WebEx.  Experience assisting adult learners with PC Software and networks desirable. Westat experience is preferred.
