Program Associate, Human and Organizational Learning Doctoral Programs

The Doctorate in Human and Organizational Learning (HOL) is designed to provide professionals with a foundation in relevant theories, concepts, and practices towards facilitating change initiatives and in becoming more effective leaders and decision-makers. Our students come from a variety of professions including business, health care, military, education, federal agencies, IT and manufacturing and have a variety of academic backgrounds with degrees in fields such as engineering, psychology, health and medical sciences, the humanities and business. The HOL department is seeking a Program Associate who will provide administrative support to the students, faculty, and program leaders in various roles and capacities.This position reports to the Associate Program Director, Doctoral Human and Organizational Learning. This position does not have direct reports but may supervise temporary wage workers and student as well as training staff on various policies/procedures.The purpose of this position is to provide coordination and program management on behalf of an academic program or initiative. This role will serve as a point of contact for the program, will answer program questions from faculty, staff, and students, and will provide functional support for the program administration. Functional support could include answering most inquiries, enrollment guidance, managing web presence and some marketing efforts, drafting program materials, planning and executing events, tracking spending and processing payments, preparing and analyzing reports, and similar duties. Often these roles are tasked with outreach to other GW stakeholders in order to assist in maintaining standard operational efficiencies. Typical duties often are administrative in nature including tasks that are routine, and under general or limited supervision of more senior personnel within the department, or program.
The responsibilities are:
Provide ongoing student communication to ensure program success and escalate/refer students to advisors and faculty when appropriate.
Track and manage academic progress of students. Resolve any student issues that may arise while in the program.
Manage on-campus and online student recruitment and application process. This includes maintaining the application database, preparing registration for students, initiating the application review process, and reaching out to candidates for interviews with faculty members.
Create class schedules and cohort dates in tandem with faculty and liaise with OTR (Office of the Registrar) for approval.
Assist with all proposal/dissertation phases, submitting completion statements to students regarding grades.
Manage class rosters and coordinate with the faculty team to ensure timely start and end of the doctoral courses. Work with GSEHD support staff to schedule classes.
Manage and update online database systems for alumni and student/faculty listservs.

Performs other work related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
Bachelors degree preferred in a related field. Experience working with advance degree students desired.
Work well independently or as part of a team and have enthusiasm for the program
