The George Mason University Libraries, Resource Acquisition Department is looking for an energetic, detail-oriented, and customer service-focused individual for the Acquisition Specialist. The Resource Acquisition Department within Access and Resource Management is responsible for the acquisitions functions for library resources in all formats to include ordering and claiming materials, and managing access to purchased electronic resources. This position is responsible for providing support for acquisition management and the coordination of the Libraries’ resources, both physical and electronic, including journals, databases, e-books, datasets, and aggregator collections. Assists with the maintenance of a variety of library databases, systems, and other applications used in resource management. Assists with the processing of financial transactions, including order record maintenance and filing. Assists with the integration of financial data for use in financial spreadsheets, records, and external systems.

Applicants must have strong communication skills with a diverse constituent base within the University Libraries including subject librarians, Content Management, and Access and Resource Management librarians and staff, as well as vendors and publishers. Applicants must have the ability to manage the entire complex order process; receipt and organization of incoming order requests; extensive Web searching and use of vendor databases to ascertain material availability; working within existing, and establishing new vendor relationships; monitoring budget allocations; adherence to strict university and statewide procurement guidelines; claiming open orders; organization and archiving of all order details according to state regulations; and regular interaction with subject librarians regarding the status of fund allocations and other order inquiries.

The following qualifications are required:

  • Bachelor’s degree, or a combination of education and significant equivalent library experience which provides candidate with basic understanding of academic library function(s).
  • Knowledge of Microsoft Office, especially intermediate Excel skills.
  • Excellent web searching skills, for use with web-based online systems and the public internet.
  • Effective interpersonal and communication skills (written and oral) to communicate with faculty, staff, librarians, students and other members of the University community as well as with external vendors.
  • Well-developed analytical and problem-solving skills.
  • Aptitude for accurate and detail-oriented work.
  • Solid organizational skills, including ability to manage competing priorities, meet deadlines, and exercise good judgment.
  • Ability to work both independently and as part of a team in a production-oriented environment.
  • Service orientation and ability to understand own work and its impact on the work of the unit, other library units, and the libraries’ user community. The following education and/or skill sets are preferred:
  • Knowledge of the vendor/publisher or library/book trade procurement process.
  • Knowledge of accounting procedures and fiscal and budgetary processes.
  • Experience with library resources, systems, and services, specifically library databases and electronic journal collections, link resolvers, ERMS, and library information technology.
  • Experience with MARC records, and OCLC or other online bibliographic databases.
  • Reading knowledge of at least one non-English language.
