The Research Development, Integrity and Assurance (RDIA) office is seeking an experienced Office Manager to support the day-to-day operations of the office and provide administrative support to the Associate Vice President and other departmental staff in a team-oriented atmosphere. The office is comprised of approximately 12 professional staff. The office manager serves as the interface with the Provostâ€™s Office, other units within the Office of Research, Deans, Department chairs and faculty, and therefore must excel in organization and communication. The RDIA office provides resources and services that: promote the ethical and responsible conduct of research; assist the Mason faculty-postdoc-student community with the identification of external funding opportunities and the development of high-quality proposals, sponsored projects and translational activities; identify compliance risks and communicate those risks to the Mason community; and finally, monitor and investigate instances of noncompliance, demonstrating the Universityâ€™s commitment to practice to the highest ethical standards in research and scholarship.
Duties and Responsibilities:
- Provides daily support for the Associate Vice President to include calendar management. May provide scheduling support to other RDIA staff as needed, especially for large, complex and important meetings;
- Front office support including providing assistance and/or directing callers as appropriate, addressing requests/issues with professional efficiency, and greet/direct visitors;
- Responsible for the completion and follow through of all travel for members of RDIA, including travel planning, submitting requests, following necessary guidelines for travel (domestic and international), and following through on necessary reimbursements and paperwork;
- Preparing meeting agendas and taking minutes for RDIA boards and committees as needed;
- Performs training compliance reviews of research protocols;
- Provides day-to-day office support to track and order supplies (office supplies and time-critical complex purchases in research programs), prepare and track work orders and maintain photocopiers;
- Manage all budgets in RDIA to include general office and operations. Perform monthly reconciliation of all budgets. Complete necessary purchase requisitions;
- Serves as HR Liaison and Telecom Coordinator for RDIA;
- Manages records retention and storage requirements for RDIA and RDIA supported committees while also ensuring the security of office records;
- Provides direction to student worker(s) and intern(s) as needed.
- A high school diploma or equivalent combination of education and experience is required;
- Ability to work in a fast-paced, team-oriented environment;
- High-level computer skills with Microsoft programs (Word, Excel and Power Point), electronic calendaring, email, travel, and web and budget software;
- Strong interpersonal and organizational skills; effectively communicate verbally and in writing using tact, diplomacy and confidentiality;
- U.S. citizen, so that this individual can support maintenance of documents with U.S. government access and dissemination controls limiting their distribution to U.S. citizens only. Preferred Qualifications:
- A four-year degree or equivalent combination of education and experience preferred;
- Preference will be given to applicants with significant relevant administrative office experience;
- Experience in a higher education or university setting is further desired;
- Purchasing experience, including eVA and Visa eworks;
- Strong working knowledge of university procedures, programs and policies is beneficial.
