Job Description:

GENERAL RESPONSIBILITIES

Employee performs full-cycle payroll processing and accounting work in the payroll area, and is responsible for the payroll area when the supervisor is not on campus. Employee is responsible to reconcile actual to budgeted positions for positions in all funds. Work is performed under general supervision and is reviewed for timeliness and compliance with college policies and procedures.

WORK PERFORMED

  • Receives, analyzes, calculates, processes, reconciles and posts materials related to payroll including verifying employee output, investigating deviations, making necessary corrections and researching discrepancies.
  • Responsible to prepare wire transfer information for semi-monthly payroll and coordinate that transfers are complete on time.
  • Responsible to maintain, and train employees on the on-line time entry system for employees.
  • Coordinates retirement information with external retirement agencies. Verifies and remits data.
  • Ensures proper accounting of all transactions relating to payroll and benefits accounting.
  • Employee prepares a monthly reconciliation of actual to budget for positions in all funds, providing detail information of new starts, ends, and adjustments for each budgeted employee.
  • Coordinates, analyzes and verifies payroll information to ensure accuracy.
  • Coordinates efforts between the financial aid office and payroll to ensure proper accounting of FWS, IWS and FDWS student payroll.
  • Prepares journal entries related to payroll. Assists in the preparation of internal reports related to position monitoring and control.
  • Receives and analyzes reports to ensure accuracy and to determine if problems exist; researches and resolves problems.
  • Ensures accurate processing of payroll materials and adherence to deadlines.
  • Assists with the preparation of audit materials and accruals necessary for year-end close.
  • Assists with the preparation of state, federal, county and other reports as requested by outside agencies, which involves the gathering and analyzing of data.
  • Provides assistance to employees  by receiving inquiries and complaints.  Researches procedures and background data as necessary to obtain satisfactory solution.
  • Ensures security and confidentiality of all payroll  documents and assets. Maintains complete files and prepares semi-monthly payment vouchers for foundation, child support, garnishments, etc.
  • Prepares remittance for State Withholding Tax and completes related Journal Entry
  • Performs other duties as assigned


Requirements:

  • AA degree required and five years of payroll experience required. (Approved combination of education and experience acceptable.)
  • Ability to apply accounting principles and procedures, which relate to the area assigned.
  • Ability to use own initiative to locate and resolve problems.
  • Ability to interact tactfully and to deal courteously and effectively with others.
  • Regular attendance is a requirement of this job.


Additional Information:

Hours Per Week: 37.5
Work Schedule: Monday - Friday; 8:30-5:00pm
Compensation: $57,394 - $66,000 plus excellent heath insurance, paid leave and tuition reimbursement
Grade: 14
FLSA Status: Exempt

As a participating member of the Maryland Retirement and Pension System, HCC offers two retirement options: The Pension, which requires a 7% employee contribution and The ORP, a 403(b) with a 7.25% employer contribution only. Employees in positions that do not require a bachelor's degree must participate in The Pension. Employees that possess a bachelor's degree and hold professional positions that require a bachelor's degree may choose to participate in either The Pension or The ORP.
