Responsibilities: Manage all facility reservations for University and non-University requests; ensure proper approvals have been received for space requests; coordinate or refer client to the appropriate person with Conference and Event Services to provide further assistance; coordinate all changes to original requests for space and notify appropriate support; communicate procedures to all users, University and Non-University; review facility use requests and University schedule for potential conflicts and make necessary changes; prepare various daily and weekly reports and distribute campus wide; develop, update and maintain scheduling guidelines and reservations; prepare written confirmation of availability for University and non-University clients; must ensure timely, accurate, friendly and efficient service to all clients; verify and update information as needed; prepare training materials and train student staff on scheduling software; maintain a backup system for scheduling; maintain files to support confirmations and cancellations; prepares special reports and answers requests for information which may include researching, analyzing and summarizing data from files, record, etc.; analyzes scheduling department practice/procedures and prepares recommendations to create new systems or revise established practice/procedures; performs related duties as assigned.
Qualifications: Bachelor's degree in Business Management or Administration. Minimum two (2) years of administrative support. Knowledge of the 25Live or similar scheduling software highly preferred. OTHER: Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience. Knowledge of the 25Live or the like scheduling software, MS Word and Excel; ability to analyze complex entities and resolve conflicts in a timely manner; must have good analytical, organizational, interpersonal and communication skills; ability to multi-task.
Condition of Employment: Evening and weekend work required as needed.
SALARY: $38,204 -$45,000 GRADE: 10
