Requirements

Daytime Operations Coordinator - School of Continuing Studies (SCS)

The Daytime Operations Coordinator provides critical customer service as well as support for student management, facilities management, stakeholder satisfaction, security and guest services coordination at the C1 program reception desk of the School of Continuing Studies (SCS) downtown DC Campus during the weekday shift. The position provides daytime reception duties and requires excellent customer service skills to be provided to staff, students, faculty and visitors at SCS. The incumbent will greet and check-in visitors, provide direction and answer questions regarding SCS programs and class schedules, as well as work closely with daytime staff and provide operational support to the Senior Director of Operations as needed.

The position requires intimate knowledge of SCS programs, daily operations, security protocols, and will serve as liaison to staff, students, faculty and visitors at SCS. This position supports SCS's goal of high stakeholder satisfaction, increasing tuition revenues and customer satisfaction. The Daytime Operations Coordinator supports the Operations Team on all aspects of successful school-wide operations, focused specifically on making sure customer service is provided at the highest level. Duties include but are not limited to:

Program Desk Reception/Customer Service

  • Provide high level customer service to all SCS stakeholders during the weekday shift (approximately 9:00 AM - 5:30 PM, Monday - Friday).
  • Coordinate closely with program staff in managing student appointments and walk-ins.
  • Manage the SCS phone tree, ensuring all call are answered and returned in a timely manner.
  • Provide emergency response efforts with SCS floor marshal staff and building security staff.
  • Direct visitors as needed for meetings with SCS staff.

Scheduling

  • Provide daily classroom schedule within scheduling system; ensuring accuracy and make sure all scheduled classes are accounted for, and facilitate any needed changes to the classroom schedule.
  • Post daily schedules to website platform and update as needed.
  • Work closely with Senior Director of Operations in preparing and scheduling all non-credit programs at SCS.
  • Assist in scheduling SCS events, as needed.

Administrative Support

  • Provide administrative support to the Senior Director of Operations and the Executive Director of Operations, during daytime shift.
  • Provide administrative support of Operations Team and school-wide operations and C1 program suite logistics during the weekday shift.
  • Manage SCS mail room operations and complete mailroom administrative tasks during the weekday hours.
  • Provide support of SCS events as needed.
  • Provide support in covering other areas of accountability for the operations team, provide front desk(s) duties and coverage as needed.

Student Management

  • Collect and administer timesheets for all SCS student workers;
  • Ensure compliance with student employment policies and procedures;
  • Serve as GMS Timekeeper for all SCS student workers, approving timesheets in timely manner to ensure payment;
  • Provide information and serve as resource to SCS staff when students need to be hired/terminated

Requirements

  • Bachelor's degree
  • 2-4 years of administrative experience preferred - higher education experience a plus
  • Ability to provide very high levels of customer service, professionalism and time management skills
  • Knowledge of University offices, computer and scheduling system is desired
  • Strong organizational and communications skills - both written and verbal
  • Proficient in Microsoft Office and comfortable responding to telephone inquiries
  • Proficient in the use of University scheduling and workday systems
  • Ability to successfully prioritize and manage multiple projects to deadlines
  • Ability to effectively work in a dynamic and fast-paced environment
  • Collaborative approach and a team orientation
  • Positive attitude and creative thinking
  • Strong customer service experience is required
