Administrative Assistant to the Provost


All matters dealing with the academic mission of the University and academic areas, including finance, administration, student life, institutional advancement and enrollment, are supervised by the Office of the Provost. The Office of the Provost provides leadership and direction to the academic area and the University community, ensuring that the University’s programs and faculty are of the highest quality and in accord with the University’s mission. The Office of the Provost directs the development of academic policies and curricula, and oversees the University’s schools, institutes and research centers.

This role is of paramount importance. The Administrative Assistant III must be able to communicate effectively with internal and external constituencies, as he/she is often the primary contact for office visitors and callers. The Administrative Assistant III provides general administrative and clerical support to the Provost and senior staff as needed in the day-to-day operations of the office.


• Serve as interface between the Office of the Provost and the University community. Provide exemplary customer support to students, administrators, faculty and staff in a professional manner.

• Maintain Provost’s schedule, including travel, and coordinate meetings, orientations, and social functions between Provost and other administrators, faculty, and students.

•  Receive, route, track and complete requests submitted to the Office of the Provost, and maintain faculty records and files.

• Provide word processing, spreadsheet, and presentation software application support to Provost, as well as occasional research.

•  Efficiently complete routine tasks, including mail distribution, replenishing office supplies, set-up and clean-up for meetings and events, and coordinating accommodations for visitors.


A Bachelor’s degree and three (3) years of experience in a position of administrative support are required. Experience in an academic setting is desirable. The candidate must exhibit exemplary listening, speaking, writing and interpersonal skills, have an exceptionally respectful and positive attitude, have the fortitude to multi-task and prioritize in an efficient and calm manner, and support the Provost with critical thinking skills, the ability to grasp and execute new concepts, and dependability through attention to detail. The candidate must have experience with a multi-line phone system and exceptional working knowledge of Microsoft Office applications, to include Word, Excel and PowerPoint, as well as the willingness to learn new applications used for University processes.
