Responsibilities Review and Process Contracts in CRM system - be able to identify if the contract package is not complete and communicate with the Project Manager accordinglyAssist Project Managers to solicit proposals to sub-contractors based on established guidelines and issue Purchase Orders to contractors Maintain contact information and other documentations for technicians and sub-contractors, including performance and productivity spreadsheetsReview and process project inventory, expense and labor transactionsInitiate Project related reports as assigned including COGS, RMR and project close-out reports, Process parking tickets, create spreadsheets and report exceptions to managementSchedule inspections and prioritize workload of the Permit coordinator. Assist Permit Coordinator with reimbursement requestsMaintain vehicle/fleet maintenance spreadsheets and other documentation. Assist Fleet Manager and Department Managers communicating with technicians to ensure they perform required maintenance and registration duties.Make travel arrangements for technicians and other team members as requiredCreate/Maintain expense reports and receipts for company credit cardsField questions from other departments to assist the technicians, sub-contractors and other team membersAssist with coordinating locksmiths and sub-contractors as requested by Project Managers and Installation Management team Assist the Installation Manager maintaining the schedule when he is on leaveAssist the Installation Manager maintaining the on-line schedule program - add / remove technicians and make changes in the schedule as requestedAssist in receiving Purchase OrdersOrder and maintain uniforms for technicians, and review and approve invoicesMake arrangements for department meetings as requested by the Director of Project Manager and Installation ManagerOther duties as assigned by supervisors Qualifications College degree or 4 years of relevant experienceExcellent oral and written skillsDemonstrated ability to lead a teamAbility to function as a liaison between Installation Technicians, Project Managers, Client Services and leadership Proficiency in Microsoft, word, Outlook and ExcelAvailable to work overtime as neededMust be willing to participate in and pass the company's pre-employment screening process including a background investigation, drug screening and driving record.Must continue to maintain a safe driving record and valid driver's license to fulfill the travel requirements of this position.
