The Administrative Assistant is responsible for maintaining the front desk, performing administrative duties, and assisting staff as necessary. This position reports to the Director of Office Operations.

Responsibilities

Primary activities include but are not limited to: answer all incoming calls on the main phone console and direct calls to the appropriate person; maintain knowledge of the procedures, programs, and meetings to properly route calls and answer basic questions; greet visitors and notify staff of their arrival; monitor visitor access and provide visitor information to security lobby; responsible for the distribution of incoming and outgoing packages, mail, E-faxes and intra-office communications and arrange courier service.

In addition, this person will assist with handling logistics for internal meetings and events, such as ordering food and accepting delivery. They will also process payment requests for invoices and the corporate credit card under the supervision of the Director of Office Operations. This position will also involve filing and maintaining updated information to include payment requests, organization directories, division manuals, and office guides.

Qualifications

Minimum Qualifications include a Bachelor’s degree in International Development, Agriculture, Financial, Economics, Business Administration or a related field, with some work experience in an office setting. Candidates should have demonstrated knowledge in international development topics. Candidates must also have proficiency in multi-media applications, Excel, Word, PowerPoint, and other Microsoft programs. Fluency in English is required. Additional French/Spanish skills are desired.
