Project Manager / Case Manager Job Description Summary:  Performs a variety of duties to assist attorneys according to established policies and procedures.  Maintains positive contact with clients and observes confidentiality of client matters.  Works with other personnel at the Firm in delivering legal services to clients.  Performs other duties as required.  Keeps accurate time records. Essential Duties and Responsibilities “Essential functions” are primarily job duties that incumbents must be able to perform unassisted or with some reasonable accommodation made by the employer. Daily case and document management Supervise and manage team of junior legal assistants and administrative staff in accordance with case budget and Firm requirements. Draft, distribute, and organize case correspondence records. Perform initial review, categorization, and indexing of documents in database, share drive, and/or DMS. Identify, request, track, and review translations with translation agencies and/or co-counsel. Identify and distribute relevant documents to experts and co-counsel. Identify and resolve missing and/or document issues with client or co-counsel. Organize and maintain war room and off-site storage of materials. Assist team with daily requests. Maintain cordial and effective communication and relations between Firm, Client, Co-Counsel, witnesses, and experts across multiple offices and time-zones to ensure smooth function of case. Logistics and preparation of international arbitration submissions Proofread and cite-check brief, reports, statements, indices and exhibit translations. Research, prepare, and finalize expert reports (quantum, industry, & legal) and witness statements. Adhere to Tribunal Orders and established citation guide for pleadings. Manage exhibit preparation. Prepare, file, and maintain hard and soft copy pleadings. Logistics and preparation of international arbitration hearings Assist with witness and expert examination preparation. Prepare hearing presentations, handouts, reference materials, and presentation software. All logistics in office and at hearing site for client, co-counsel, witnesses, and legal team. Document requests and productions Assist attorneys with preparation of document requests and Redfern schedule. Manage and track attorney document review. Create and issue production sets and indices. Prepare and maintain privilege log. Retainers, engagement letters, contracts, and budgets Draft retainer letters and contracts, ensure processing of same. Monitor case budgets and notify partner monthly re status for each case. Attend to budget status requests. Maintain contract files and ensure adherence to same with invoices; arrange for amendments when necessary. Prepare tender submission materials. Client and vendor billing Review proformas and oversee drafting, revision, and processing of same. Review and revise team diary entries in accordance with client requirements. Track and submit vendor invoices & payments. Maintain billing spreadsheets and budget watch. Review step and annual rate increases with partners and implement same with billing department. Monitor monthly WIP and AR reports. Other administrative tasks Initiate conflict searches and open entry process; maintain records regarding same. Research, draft, and maintain record of client pitches. Update attorney CLE credits and bar memberships. Monitor and renew Firm’s annual memberships with international law associations. Knowledge Skills and Abilities Required Native or advanced proficiency in Spanish required. 2-3 years paralegal, legal administration, or project management experience; supervisory experience is a bonus. LL.M or J.D. preferred. Clear, concise writing skills and good verbal communications skills in Spanish and English. All-around ability to deal with variety of matters. Good organizational skills. Ability to follow through on projects. Willingness to work overtime. Excellent professional references. Exercises discretion and independent, sound, and mature judgment with high-ethical standards. Interpersonal skills necessary to communicate in person, by e-mail, or telephone. Follow instruction from a diverse group of clients, attorneys, and staff and provide information with courtesy and tact.  Ability to commit to the needs of both the Firm and its clients and understand when to give priority to the needs of the Firm above personal convenience.
