RECORDS & INFORMATION GOVERNANCE CLERK LOCATION: Washington, D.C. – NW (metro-accessible) REPORTS TO: Associate Director, Records & Information Governance International law firm seeks a Records & Information Governance Clerk to support the International Trade Group out of their D.C. office.  The Records & Information Governance Clerk will provide essential and specialized records and information governance support relating to international trade matters throughout all phases of the matter, including the management of proprietary information subject to Administrative Protective Orders (APO), and ensure that work is performed in accordance and consistent with global records and information governance policies and processes.  Will also assist in the execution and deployment of projects and initiatives. RESPONSIBILITIES: Maintaining and updating files and case materials, both physically and in electronic records management systems (iManage, designated shared drives, Outlook, and LegalKEY) Organizing and indexing APO documents in current Trade Group cases and locating files requested by Trade Group attorneys and analysts, diligently adhering to APO requirements and following internal protocols for safe handling of documents Updating indices for inactive Trade Group cases and preparing files for Certificates of Destruction Coordinating and organizing APO files for transfer in cases of departing clients, and receiving client transfer documents from other firms under the direction of the Records Coordinator Downloading and distributing ACCESS public releases to the Trade Group (twice daily) Delivering submissions to the Department of Commerce (DOC) and the U.S. International Trade Commission (ITC) Retrieving APO Releases from the ITC Assisting with the generation of Staff Sheets for DOC and ITC trade cases and collecting signatures Providing support to Trade practice assistants with APO filings as needed, and working closely with them to ensure the seamless use, storage and indexing of all APO materials Using LegalKEY to create new folders and print labels, assist with the search and retrieval of files and materials as requested by attorneys and practice assistants, checking files in and out, conducting file location audits, assisting end users with file organization when needed, and filing emails Preparing files for off-site storage, searching for and retrieving files as needed; coordinating with all parties to ensure timely and accurate pick-up/delivery Responding to requests to shred confidential material and ensure destructions are carried out in accordance with Firm policies and procedures; providing shred consoles/shred bins as requested Other duties as assigned QUALIFICATIONS: High school diploma or equivalent Familiarity with APO regulations and filing procedures Sound technical skills relevant to records management and document management systems (RMS/DMS), including the application of proper naming conventions and bar code technology/hardware; Microsoft Office Suite experience preferred Experience in physical/electronic records maintenance Excellent attention to detail and strong organizational/communication skills Ability to work efficiently in a fast-paced environment with and without direct supervision Ability to coordinate multiple projects at one time and appropriately prioritize work ***Ability to work overtime as required Please submit resumes in Word format to sstrauss@mylegale.com.
