Reporting to the Senior Manager, Global  Benefits & Wellness, the Benefits Coordinator/Administrator is responsible for the administration of all US health, welfare and retirement benefits plans, including medical, dental, vision, life insurance, flexible spending plans, short- and long-term disability, voluntary life insurance, 401(k) plan and wellness program activities. The Benefits Coordinator/Administrator provides excellent customer service and investigates new benefit programs to improve existing programs in order to successfully execute USP’s benefits strategy.

The role partners with benefits vendors to ensure process efficiency and accuracy, consults with employees to improve understanding and resolve problems, develops communications to support value proposition and engagement, and ensures compliance with required disclosures, filings and audits. This individual contributor role is an integral part of the global HR team, working regularly with HR Business Partners and Payroll.

Roles and Responsibilities:

  • Serves as the primary point of contact for day-to-day benefit matters and the subject matter expert on USP benefit offerings, including medical, dental, vision, life, disability, flexible spending account plans, voluntary life insurance, 401(k) plan, and wellness program.
  • Resolves issues and addresses employee questions; may manage benefit plans through 3rd party providers.
  • Configures and oversees online benefits enrollment system ensuring accuracy through data testing and vendor management; ensures data integrity of benefit enrollments. 
  • Responsible for annual Open Enrollment and Benefits/Wellness Fair planning and logistics; facilitates Open Enrollment meetings for employees and ensures accuracy of information submitted to vendors.
  • Assists in leading wellness programs/events and initiatives to encourage the health and well-being of employees.
  • Creates reports and conducts audits as needed for Open Enrollment, benefits billing reconciliation, and compliance reporting. Ensures accuracy of benefits data, researching and correcting discrepancies as necessary.
  • Responsible for systems and processes to comply with state and federal laws to include: ACA, DOL IRS, HIPAA, Section 125, and ERISA, including preparation of reports and applications required by law.
  • Participates in and analyzes the results of benefits surveys. Makes recommendations for benefit plan enhancements.
  • Administers FML, disability, and worker’s compensation program and ensures compliance with all federal and state legislation.
  • Leads retirement plan audits; works closely with external auditors provide necessary documentation.
  • Oversees insurance premium payment processing for consolidated billing; provides direction to HR Coordinator responsible for processing premium payments and employee benefit transactions; oversees all benefits plan enrollments/changes/terminations. Collaborates with benefits broker to resolve questions or discrepancies.
  • Partners with Senior Manager, Global Benefits & Wellness to communicate benefits and wellness programs to the USP community; oversees presentations at new hire benefit orientations and other benefit briefings; arranges for employee educational meetings and benefits and wellness seminars; works with Staff Engagement team to ensure communication efforts are appropriate and thorough.
  • Effectively partners and builds relationships with the HR Business Partners and the Payroll team to administer benefits plans and programs.

 

Basic Qualifications 

Benefits Coordinator

  • Bachelor’s degree in Business or Human Resources (or equivalent combination of education and experience).
  • Three (3) years of relevant experience in benefits coordination.

Benefits Administrator

  • Bachelor’s degree in Business or Human Resources (or equivalent combination of education and experience).
  • Five (5) years of relevant experience in benefits administration.

  • Highly organized
  • Strong customer service and attention to detail.
  • Works well independently and within a team.
  • Team player with the ability to work within the HR team as well as with employees and stakeholders throughout the organization; willingness to assist other members of the HR team when needed
  • Highly proficient in MS Office.
  • Must be highly organized, very precise, and detail oriented. The ability to effectively multi-task is essential.
  • Project management experience with an emphasis on meeting deadlines and accomplishing projects in a time sensitive manner.
  • Proven track record of maintaining sensitive information in the strictest of confidence.
