The UC Washington Center Program Administrator provides program support to the undergraduate teaching program and to other academic functions and constituencies in the UC Washington Center including faculty & visiting instructors. Duties will include aiding students during the on-boarding phase of the program, advising on basic program requirements, coordinating with campus-based staff who are responsible for recruitment and selection of students into the UCDC program, reviewing internship action forms, referring students to Program Administrators for Internship search guidance, assisting with course evaluations process and assisting with maintenance of centralized internship database.
The UC Washington Center Program Administrator provides key program support and management to the undergraduate teaching program and to other academic functions and constituencies in the UC Washington Center. Duties will include aiding students in the search for internships, monitoring and counseling the students about their workplace experience, coordinating with the campus-based staff who are responsible for recruitment and selection of students into the UCDC program, and ensuring that grades and credits are transmitted properly back to the campuses.

Duty 1: Support participants accepted to the University of California Washington Program (UCDC) in all aspects of their internship experience.
Advise students on their internship search and performance and related aspects of their transition from campus to Washington, DC.
Support and monitor internship application process for assigned students. Review application materials, resume, and writing samples to assess skills and interests. Offer suggestions for internship sites and organizations that align with students' short and long-term goals.
Identify and develop potential internship opportunities as they relate to student interests and internship searches.
Maintain ongoing relationships with internship supervisors regarding student responsibilities,
performance, and evaluations. Help resolve internship conflicts/issues that arise in consultation with AIT staff and managers.
Work collaboratively to resolve student issues and refer students to appropriate UCDC staff (housing,
Refer students to appropriate campus programs when questions arise and work cooperatively with
designated campus coordinators concerning student progress and issues.
Work cooperatively and share information/advice regarding internships, and best practices with AIT
staff and managers.
Function:ACADEMIC INTERNSHIP TEAM ADMINISTRATOR
Duty 2: Responsible for administrative tasks associated with the AIT which include assisting AIT administrative assistant in setting-up and maintaining internship database, student records and other AIT forms and documents.
Assist in distributing student internship interest, work plan and evaluation forms. Assist AIT staff and managers prepare orientation materials, information handbooks, annual reports, and statistical data; Assist in updating Symplicity database as needed by the AIT unit and as directed by AIT managers.
Meet with AIT staff and managers on a regular basis to discuss trends and observations as it concerns internship placements, processes, initiatives and long-term projects to maximize students' experiences.
Bachelor's degree in related area and / or equivalent experience / training.
Skills in judgment and decision-making, problem solving, and project management.
Knowledge of University-specific computer application programs and knowledge of University and departmental principles and procedures.
Ability to supervise and work with administrative staff.
Ability to independently plan, organize, and prioritize work.
Working knowledge of advising and counseling techniques.
Proven ability to handle multiple tasks simultaneously under stressful situations.
Familiarity with a broad range of Washington, DC based organizations, with a preference towards having already established relationships for potential internship opportunities.
Strong oral and written communication skills; interpersonal and presentation skills; ability to communicate information in small and large group settings.
Proven ability to listen and follow directions, and interpersonal skills to establish and maintain effective
relationships with others.
Demonstrated ability to work cooperatively and collaboratively as a team member and Multicultural
competencies; ability to work with diverse populations.
Proficiency using online platforms such as Mailchimp, SurveyMonkey, GoodleSheets and GoogleDocs.
Familiarity with a broad range of Washington, D.C. based organizations, with a preference towards having already established relationships for potential internship opportunities.
Knowledge of advising techniques.
Exceptional customer service abilities in answering questions from students and follow-up on inquiries.
Excellent problem-solving abilities and creative thinking in identifying options for students beyond existing partnerships and initiatives.
Exceptional ability to manage workload and interact with large group of students already in Washington via one-on-one meetings, email correspondence, telephone and social media, and accepted students participating in future terms who are in California preparing for their time in DC and searching for internships.
