DUTIES: University of Maryland College Park – The HR & Business Coordinator supports Chemical & Biomolecular Engineering (ChBE), Materials Science & Engineering (MSE) and Fire Protection Engineering (FPE) departments through Payroll, Benefits, HR Operations and departmental administrative support. The position will be responsible for but not limited to coordinating the day-to-day processing all payroll actions; gathering and processing new hire, student, J1 and H1B VISA processing and current employee documents for FPE as well as, supporting the HR functions for ChBE & MSE.
Post and process new PHR appointments, as well as, all data up-dates faculty, staff, students, and non-compensated visiting faculty. Input/up-date payroll information within priority data base system, establish and maintain systems for electronic and hard copy files.
Coordinates with the campus ISSS office regarding non-US citizen hires. Ensures the timely completion of all Visa documentation as required by IES & federal government. Continual follow-up and document retention and monitoring to ensure our non-US citizen faculty and students can conduct their educational and research efforts.
Incumbent shall prepare, process, track, and monitor UMCP/KFS requisitions/purchase orders, as well as, State Pro-Card procurements. Incumbent shall (with the same diligence) process, and maintain invoice database on all procurements, procurement card monthly order validation, and reconcile such database to internal ledgers, Priority Software (BA3), and the Kuali Financial System (KFS).
Incumbent shall perform account reconciliations on accounts (ledger 1-operating, 2-E&G (cost share & self-support), 4-contracts, and 5-research awards). Reconciliations are to be conducted on a monthly basis; this shall also include the daily review of transactions posted to assigned accounts by ensuring all account activity is recorded, verifying amounts, comparing and reconcile balances, establishing burn rates/trends/deviations from accounting standards.
QUALIFICATIONS: Successful applicants shall have a Bachelor’s degree or equivalent combination of education and experience. Working knowledge of VISA regulations for all visa programs including J, F and H1B. Working knowledge of query language and database structures and data base tables necessary in managing the payroll accounts. Must be able to manage high volume workload with many interruptions and pleasant demeanor. Mathematical abilities necessary. Candidates should have an excellent working knowledge of Microsoft Word and Excel, strong communication and customer service skills, excellent attention to detail, and the ability to prioritize and multi-task within deadlines in a challenging, fast-paced environment.
