Office Manager and Administrative Assistant
The George Mason University, College of Humanities and Social Sciences, Center for the Study of Neuroeconomics (CSN) invites applications for a part-time (10 hours weekly) Office Manager and Administrative Assistant position on the Arlington campus. An ideal candidate would hold this position in concert with other personal or professional demands, as it is a 10-hour a week position with a highly flexible schedule that can be conveniently modified each week to fit the employeeâ€™s schedule.
Responsibilities: This position is responsible for serving as departmental liaison between university administration and the department concerning all business operations including purchasing, research support, human resources, accounting, and general office administration. The position responsibilities are listed as follows. Despite the breadth of tasks listed, the department is extremely small, making for a relaxed workday because the need for each individual item is intermittent.
- Purchasing all office supplies and other departmental purchases as necessary and according to university policy;
- Maintaining an inventory of office supplies and ensuring that there is no lapse in necessary office items;
- Completing several purchasing training seminars and adhering to university purchasing policies;
- Obtaining a university purchase card and processing necessary paperwork monthly according to university regulations; and
- Assisting employees with travel regulations and reimbursements, according to university policy. Research Support:
- Completing, administering and managing all Institutional Review Board (IRB) applications and protocols while observing deadlines, according to university policy;
- Completing, administering and managing all petty cash accounts, observing university regulations and protocols while observing deadlines; and
- Maintaining a calendar of all grant expiration dates and processing no-cost extensions and/or grant closing paperwork. Human Resources:
- Completing several human resources training seminars; and subsequently handling all new hire, position changes, and termination procedures according to university regulations;
- Orienting new employees according to university policy and departmental procedures;
- Creating and managing job postings in a People Admin applicant tracking system, and participating in interview process and candidate selection; and
- Completing paperwork to ensure that graduate research assistants receive tuition reimbursements from the university, and observing associated necessary deadlines. Accounting:
- Completing several finance training seminars, and preparing intermittent budget reports throughout the year from all funding sources to the department head; and
- Reconciling accounts on a monthly basis. General Office Administration:
- Managing all employees copy cards, after-hours building access, and assisting employees with any access needs including parking;
- Assist department with the administration and execution of an annual high school workshop, serving as a week-long educational experience for teens;
- Ensuring that all computers in both the Arlington office space and Fairfax computer laboratory are in working order at all times, contacting the universityâ€™s Information Technology Services whenever needed, and purchasing necessary parts according to university policy;
- Responsible for keeping office space clean and organized in both Arlington and Fairfax;
- Entering, scheduling and administering facilities maintenance requests to ensure that both workspaces are functioning adequately and according to university regulations;
- Assisting in the administration of office moves when necessary;
- Complying with university regulations in regards to tracking and reporting departmental inventory on a yearly basis, and administering the surplus process according to university regulations;
- Planning departmental social events such as birthday lunches, trivia night outings, and going-away parties;
- Receiving university training in telecommunication coordination and serving as a Telecommunication Coordinator for the department; and
- Keeping appropriate administrative files for all of the listed tasks including purchasing, IRB materials, human resource materials, petty cash paperwork, and experimental data and paperwork according to university regulations.
Qualifications: CSN is looking for a highly organized professional who has patience for complicated administrative tasks necessary for daily operations at a large institution. Applicants must have the ability to independently handle administrative paperwork (both electronic and traditional) according to policy and deadlines. Complete proficiency in Microsoft Office and Internet proficiency is required. A bachelorâ€™s degree is strongly preferred, and candidates with previous experience in university department administration will be favored. The most important quality in an ideal candidate, however, is organization.
