Functional Coordinator

Office of the Registrar

Exempt, Contingent II, 100% Full-Time, Pay Grade 1.3

Location: Largo, MD

University of Maryland University College seeks a Functional Coordinator. The Data and Systems Operations (DSO) team in the Office of the Registrar is responsible for the management and data integrity of the Student Information System (SIS). This includes testing critical functionality, implementing system fixes by translating business needs to technical developers, and incorporating changes that directly lead to a better student administrative experience and a better user experience overall. This unit owns, mines, and interprets the data that lives within the SIS and helps others with data needs that tell the story of our students. This role supports not just the DSO unit, but other units within The Office of the Registrar as well as other University departments.


The Functional Coordinator role is responsible for troubleshooting systems errors and communicating the impacts of these errors to all impacted parties throughout the resolution process. The person in this role will have the ability to work within all systems used in the office of the registrar, and handle level 1 and level 2 priority items that need resolution. The incumbent will be expected to learn business processes, research questions and concerns and engage with stakeholders at all levels of the organization.


This position is expected to actively seek out innovative new processes, inform leadership to enable sound decision making and will provide recommendations on how to update current business processes to support the office's strategic and operational needs.

DUTIES AND RESPONSIBILITIES:

  • Coordinate, support, and advise the implementation of technology and provide ongoing support to end users, for various systems and processes used throughout UMUC. 
  • Resolve system issues that affect both students and employees of UMUC. 
  • Cultivate partnerships with end users of various UMUC departments.
  • Serve on departmental projects, providing technical expertise and support.
  • Assist in the creation of project plans and documentations.
  • Share and communicate with stakeholders and give presentations as needed.
  • Using a broad range of technical skills and functional expertise, perform other duties and projects as assigned.
  • Identify, research, recommend, implement and utilize best practice methods in the areas of responsibility including keeping up to date on technical functionality as it relates to any software or hardware that could provide for enhanced communications and processes across all constituents.
  • Make recommendations for enhancements and improvements to the processes, practices, and technology to better serve the needs of the department.
  • Will identify and provide business process change recommendations.
  • Provide oversight and performing technical functions of the day-to-day operations of the unit.
  • Analyze processes and procedures in order to assure quality and consistency and identify potential issues in a proactive manner.
  • Identify, research, recommend, implement and utilize best practice methods in the areas of responsibility including keeping up to date on technical functionality as it relates to any software or hardware that could provide for enhanced communications and processes across all constituents.
  • Understands all the business processes and procedures, testing new functionality for end users.
  • Handle sensitive and confidential information with tact and discretion. Protects the confidentiality of student records by following all FERPA guidelines on the release of student records.
  • Other job-related duties as assigned.

REQUIRED EDUCATION AND EXPERIENCE:

  • Bachelor's degree from an accredited institution of higher learning.
  • 1-2 years' experience with enterprise-wide systems or applications.
  • Excellent oral and written communication skills.
  • Excellent customer service and relationship management skills.
  • Ability to make sound decisions independently.
  • The capability of prioritizing and managing multiple administrative tasks and  work both independently and collaboratively.
  • Ability to work effectively with both internal and external clients.
  • Demonstrated advanced ability to work with MS Office, Google Apps, and other business tools, including the ability to create and manipulate spreadsheets and other data sources.
  • Two (2) years of work experience in a University of other Higher Education or related setting preferred, especially working with OnBase, PeopleSoft Academic Advising or Campus Community modules, or Electronic Data Interchange for transcripts.
