Founded in 1990, we have developed our practice by reaching out, nurturing and maintaining close, trusting relationships with each of our clients. We help create sound retirement income strategies for people in or nearing retirement, so they can have confidence that their retirement income will last as long as they do.
We are seeking a Client Service Assistant/Receptionist to join our team. If you have an entrepreneurial mindset and a strong work ethic, apply to join the SFG team. The Client Service Assistant/Receptionist serves the firm in all facets of reception, administrative services, operations, and client support.
Work Activities & Accountabilities
• Reception: Receives and directs clients and visitors in a friendly, professional manner. Keeps reception area and conference room(s), clean, organized and prepared for client visits. Answers, screens and directs/transfers all incoming phone calls using a multi-line telephone system. Answers routine client inquiries.
• Administrative: Performs full administrative duties including creating memorandums, correspondence, documents and reports, usually from rough draft, and edits for grammar, punctuation, and spelling as needed. Handles incoming and outgoing mail and packages. Order, receive, stock and distribute office supplies. Schedules appointments/meetings for team including making necessary travel arrangements, proactively checking need for meeting materials (i.e., agenda, presentation, food arrangements). Interact with clients in an efficient, courteous, and professional manner. Assist with service requests from clients. Monitor and coordinate gathering of various forms and documents for set up of client files efficiently.
The successful candidate will be highly organized, flexible, and proactive with a willingness to align their time with the firm's priorities for higher productivity. Must have excellent assertion skills along with superior written and oral communication skills. Must be detail oriented, with the ability to juggle multiple projects while working under tight deadlines with continuous distractions.
This position requires a high level of responsibility with a proven track record and experience supporting high level executive(s) for at least three years. Prior financial advisory firm experience is a plus. Must have the ability to work independently, exercise discretion, and work in a fast paced professional environment. Must be proficient at the intermediate level or higher with Microsoft Office suite. Some evenings required.
