Montgomery College, Rockville Campus, has an immediate need for a full-time Administrative Aid III, S03841 with the Disability Support Services department. The work schedule is Monday - Friday, 8:30 a.m.-5:00 p.m. Position is non-bargaining, non-exempt, and grade 23. For non-exempt positions, you are not eligible to work a secondary job at Montgomery College.

The Administrative Aid III position within the Disability Support Services (DSS) Office is responsible for providing administrative office management and support to an office that works with diverse disabilities (college-wide) and values inclusion. Duties include but are not limited to establishing and maintaining the office system, acting as the administrator of the web-based DSS student file management system, preparing accommodation letters for students requesting services, assisting with the intake process for prospective students, and providing friendly and welcoming front-line customer service for DSS. The Administrative Aid III position will have either knowledge of or ability to learn quickly the Americans with Disabilities Act Amendments Act (ADAAA) of 2008 and Section 504 of the Rehabilitation Act of 1973. Successful candidates must possess excellent organizational and communication skills, ability to utilize a variety of computer applications, and the ability to work in a dynamic and fast-paced environment.Job Description

Duties include but are not limited to:

  • Establish and maintain office systems and procedures which support the Disability Support Services department
  • Act as office Administrator of web-based DSS student file management system
  • Assist students with disabilities with the intake application process
  • Provide front-line customer service for visitors, incoming and returning students with disabilities
  • Assist DSS faculty with annual events and the production of materials for classroom use, professional presentations, and department initiatives
  • Prepare and process purchase requisitions and direct payment forms for supplies, equipment, furniture, professional publications and professional membership renewals for the department
  • Prepare and submit monthly P-card expense reports, transaction logs, receipts, and statements to the Dean's office
  • Coordinate and implement provision of non-academic accommodations
  • Extract student information (run queries) from the Banner Data Warehouse to use in statistical reporting, enrollment reports, tracking trends and changes in disability reporting, searching for scholarship candidates, and information for DSS and Workforce Recruitment Program mailings.
  • Periodically update the DSS web page content and DSS forms
  • Provide administrative support to DSS faculty and staff, college-wide

Required Qualifications:

  • High School diploma or GED, including or supplemented by courses and/or training in office and/or document management.
  • At least 5 years' experience in administrative program support and/or office management
  • Working knowledge or an ability to quickly learn the Americans with Disabilities Act Amendments Act (ADAAA) of 2008 and Section 504 of the Rehabilitation Act of 1973.
  • Demonstrated skill in computer applications: MS office (Word, Outlook, Excel, PowerPoint, Publisher, Access), Windows OS
  • Knowledge of current office procedures and practices as applied to the provision of general office service and the support of department programs, including; business English, spelling, grammar, and conventional styles of written communication used in the environments of office, the College community, and disability services
  • Ability to use various office machines including imaging station, scanner, photocopier, and multi-line telephone system
  • Excellent oral and written communication skills
  • Ability to prioritize and multi-task

Preferred Qualifications:

  • Experience working with people with disabilities
  • Earned Associates Degree or equivalent credits
  • Knowledge of Banner and/or  other student information systems
  • Knowledge of Family Educational Rights and Privacy (FERPA)
  • Knowledge of Accommodate System by Simplicity
