Evening Manager of Operations - School of Continuing Studies

Georgetown University's School of Continuing Studies (SCS) offers graduate programs in professional and liberal studies, more than 30 professional certificate programs, custom and corporate training and education, summer school and special programs, and a part-time bachelor's program.

The Evening Manager of Operations provides critical facilities management, employee logistics services and communications with faculty, staff and students at the Georgetown University School of Continuing Studies (SCS). S/he manages daily school-wide operations, focused specifically on making sure classes and events run efficiently and effectively in the busy evenings shifts from 3:30 P.m. to midnight - in particular, classroom readiness and turnover; faculty and student support; technology support; GOCard/ID Card access for credit students, non-credit students, faculty and guests; event support; front desk staff management; student/temporary worker management; and supply organization and management. Reporting to the Executive Director of Operations, the Evening Manager has duties that include but are not limited to:

Facility Operations

  • Supports the 640 Massachusetts Avenue location during the evening hours (approximately 4:00 PM to Midnight, Monday through Friday) on school-wide operations and logistics at SCS
  • Manages office and classroom spaces during the evenings, ensuring the overall readiness of rooms, computer equipment and classroom technologies.
  • Manages evening security issues and emergency preparedness.
  • Manages all evening front desk operations and staff.
  • Manages office supply organization and distribution during the evening hours.
  • Ensures students, faculty, and staff are adhering to the GoCard access policies during the evening hours.
  • Supports events happening at 640 Massachusetts Avenue, ensuring space is appropriately set up and torn down.
  • Work with vendors in 640 Massachusetts Avenue to ensure that the bookstore and cafe are running up to SCS standards; and troubleshoots any issues that arise.

Reporting

Supports the Executive Director with reports on operational efficiencies, complaints, maintenance, and emergency preparedness issues.

Staff Management

  • Ensures that student workers and temporary staff support students and faculty in an appropriate manner.
  • Serves as central point of contact for all staff on site in the evenings to troubleshoot any problems that arise.
  • Coordinates emergency response efforts with SCS security staff and building security staff.

Office Administration

  • Supports Executive Director with any daily/weekly/monthly recurring office administration requirements.
  • Supports Executive Director in any projects or preparatory work for the following day.
  • Logs all issues during evening shift and communicates any urgent issues to Executive Director and the Director of Operations.
  • Provides daily report on all issues during evening shift, and provides adequate and appropriate follow up.

Requirements

  • Bachelor's degree
  • Demonstrated ability to provide very high levels of service, professionalism, and time management skills
  • Demonstrated ability in operations management, including staff management
  • Conflict negotiation skills and creativity
  • Proficiency with Microsoft Office and confidence with database maintenance
  • Strong problem-solving skills, time management talent, and a willingness to take initiative and lead the problem solving process
  • Team leader with a detail orientation and ability to manage multiple tasks

Preferred qualifications

  • 2 to 4 years of progressive administrative experience in educational setting
  • Experience in project management
  • Conflict negotiation skills and creativity
  • Knowledge of University offices, computer, and financial systems
