Senior Student Service Assistant/Registration Counter Supervisor Position ID Number:2501 Posted Date:Aug 3, 2018 Job Category:Staff Department:Records & Registration - HREC Position Status:Full-Time Staff Salary Range:$42,232-$52,790 Position Summary:Responsible for providing comprehensive assistance to students and the college community in all aspects of the enrollment process and is responsible for supervision and management of evening operations. This includes providing excellent customer service to students and staff at the counter, via telephone, postal mail, and using electronic methods and ensuring hourly registration staff are providing excellent customer service as well. The Senior Student Services Assistant - Registration Counter Supervisor oversees daily operations at the registration counter, supervises the hourly registration staff, participates in selecting and training hourly registration staff, and develops the registration counter staffing schedule. In addition, the Senior Student Services Assistant - Registration Counter Supervisor is responsible for processing registrations received through the mail, fax, and from specialized, selective admission and contract populations. Hours: Mon-Thurs 10am-6pm (January & August until 7pm) Fri 8:30am-4:30pm Occasional Saturday 9am-1pm Job Duties and Responsibilities: Provide comprehensive customer service at the registration counter for all aspects of the enrollment process, including registrations/adds/withdraws, student demographic and program of study updates, official transcripts, and other records functions in a timely and confidential Provide effective resolution to nonstandard issues. Ensure records are maintained and secured appropriately and in accordance with the Family Educational Rights and Privacy Act (FERPA). Select/hire and supervise hourly registration Obtain and maintain required employment documentation for hourly registration staff and work study students. Monitor and enforce standards for customer service at the registration counter, including staff and office space appearance, etiquette, respect, and courtesy. Train hourly registration staff on essential job functions. Establish and maintain standards for information dispersed at the registration counter. Delegate projects from office staff to hourly staff as appropriate. Process registrations received by mail or fax and for selective admission and contract Serve as primary point of contact for registration inquiries and transactions for these populations. Ensure proper distribution of incoming mail to office staff. Assist with promotion and logistics for college and department registration events Assist in providing timely, concise, and accurate responses to inquiries received via Records office email and Provide supervision and management of evening operations and the periodic supervision and management of Saturday operations. Participate in preparation for Commencement planning and setup and provide assistance and guidance to students, volunteers, and guests during the Commencement ceremony. Serve as time recorder for hourly staff. Maintain records for hourly staff budget. Develop the schedule for front counter registration staff taking into consideration office needs and budget Required Qualifications:* Associates degree is required* Minimum 4 years of experience providing excellent customer service. Minimum 3 years of supervision experience required.* Ability to work effectively in a high volume, fast-paced environment with minimal supervision and with utmost attention to accuracy, details, and deadlinesAbility to maintain the confidentiality of student records and working knowledge and ability to interpret the Family Educational Rights and Privacy Act regulations.* Proven commitment to providing excellent customer service. Ability to deal tactfully and effectively with students, faculty, staff, and the public. Excellent oral, written, and interpersonal communication skills required.* Strong critical thinking and problem solving skills.* Strong computer skills including advanced knowledge of word processing, spreadsheets, and data entry in large relational databases. Preferred Qualifications:* Experience working in an enrollment services office of a large community college.* Experience using Ellucian Colleague student information system and Perceptive Content document imaging system.* Experience providing presentations to audiences of new students, parents, and faculty/staff.
