Admissions Analyst, Office of the Dean - Graduate School of Arts and Sciences

Georgetown's Graduate School of Arts & Sciences, at nearly 200 years old, offers a wide variety of doctoral, master's and certificate programs encompassing both traditional and interdisciplinary studies.  Whether you're interested in pursuing doctoral research in Government or Neuroscience, or exploring top-ranking master's programs such as Foreign Service or Public Policy, you are sure to find unique opportunities in our graduate community.

The Admissions Analyst supports the admissions needs and processes of more than 70 masters and doctoral programs. S/he engages in extensive data entry, data migration, document matching and file management for tens of thousands of applications, and with tens of thousands of prospective students through a variety of mechanisms, including email, phone calls, in-person consultations and information sessions to provide excellent service and experience to all inquiring parties. Reporting to the Assistant Director for Graduate Admissions, the Admissions Analyst has duties that include but are not limited to:

Recruitment & Prospect Management

  • Represents Georgetown University at various job/graduate fairs nationally and internationally.
  • Develops relationships with potential applicants and provides follow up communication regarding program offerings tailored to their specific interests.
  • Provides development and delivery of information sessions, live chats, and webinars.
  • Works with prospect management systems and vendors to identify and load prospects for GU programs.
  • Works with GU program administrators/faculty and GSAS Associate Directors/Assistant Director on program enrollment goals.

Information Management, Support & Training

  • Maintains knowledge and expertise with regard to 60+ graduate program and 40+ dual degree offerings under the Graduate School of Arts and Sciences.
  • Conducts regular review and update of admissions information posted to the Graduate School Admission's website and wiki, information pamphlets, and administrative resources for program administrators and faculty.
  • Trains program faculty and staff on all Graduate School and Georgetown University policies, procedures and practices with regard to recruitment, data entry, and processing of applications & decisions.

Admissions Support: Applicants and Programs

  • Responds to general inquiries from prospects, applicants and their families (online, via phone, or in person) regarding graduate program offerings, application policies and procedures, and decisions.
  • Conducts thorough review and support of all graduate applications, including all credentials; and follows up to ensure completion of all applications.
  • Supports graduate programs in application review and inputting decisions.
  • Provides official communication of decisions.
  • Processes all decisions and final actions.
  • Provides thorough case management of graduate applicants - start to finish support from initial point of interest to final decision, working in conjunction with the Assistant and Associate Directors on the admissions team.

Information, Data & System Management

  • Conducts regular cyclical review of applicant records and applies appropriate record retention practice.
  • Reviews and maintains data (manual entries as well as downloads, imports and exports).
  • Performs data loading and data entry of prospect and applicant information, and data imports and exports; and processes admissions decisions.
  • Tests and provides feedback on new prospect, applicant and student management systems.
  • Generates prospect and applicant reports that reflect detailed illustrative records across time periods to be used in day to day management of operations and to be reviewed and referenced by the Dean of the Graduate School.

Collateral Duties

  • Provides increased support during major application deadlines.
  • Provides additional support to colleagues on the Admissions Team as needed.
  • Provides support of Graduate School events such as the annual Commencement ceremony or New Student Orientation.


  • Bachelor's degree
  • 2 to 3 years of general administrative experience in an office setting
  • Knowledge of, and experience with, higher education administration desired
  • Well-versed in general Administrative Applications: Microsoft Office, Adobe Acrobat and Google apps
  • Ability to easily engage people in conversation and effective writing
  • Excellent  organizational and interpersonal  skills
  • Ability to learn and adapt to new data management systems with ease
  • Ability to appropriately represent Georgetown University at recruitment events and build effective relationships with prospects and applicants
  • Great attention to detail
  • Ability to manage various projects concurrently
  • Ability to recognize problems and act accordingly to resolve them
  • Technical aptitude and ability to manage careful management and integration of new processes
