Senior Membership Associate - National Academy of Engineering
Founded in 1964, the National Academy of Engineering (NAE) is a private, independent, nonprofit institution that provides engineering leadership in service to the nation. The mission of the National Academy of Engineering is to advance the well-being of the nation by promoting a vibrant engineering profession and by marshalling the expertise and insights of eminent engineers to provide independent advice to the federal government on matters involving engineering and technology.
The NAE is tasked with identifying and illuminating issues at the intersections of engineering, technology, and society that impact our quality of life. Studies, symposia, and public information activities are carried out both independently by the NAE Program Office and jointly with other units of the National Academies.
NAE has more than 2,400 peer-elected members and foreign members, approximately 56 percent from academia, 36 percent from industry, and 8 percent from nonprofit institutions and government. They serve as members of research and study committees, plan and conduct symposia and workshops, and assist in the work of the Academy in many other ways. Activities include collaborative projects at home and abroad to examine technological problems, advising Congress and government agencies on engineering-related matters of national importance, and recognizing and honoring outstanding engineers for their contributions.
The Senior Membership Associate manages projects or functions specific to membership activities such as annual, regional, and national meetings, member communications, and member services, policies and procedures; meetings and records of committee meetings. Develops related materials, provides advice on matters related to area of responsibility, and ensures successful management and execution of assigned projects and area of responsibility.
Applies specific and professional-level knowledge to perform responsibilities requiring the identification and analysis of complex factors to determine best course of action. Uses independent judgment and discretion, but may receive guidance or expertise from supervisor or higher- level staff on more complex problems. Establishes processes and/or procedures to ensure the effective and efficient operation of assigned functions.
ESSENTIAL JOB DUTIES:
1. Develops and manages one or more membership projects and functions. Develops processes and procedures for assigned area. Works with internal resources and external contractors to ensure successful execution. Successfully administers projects and/or functions on an on-going basis.
2. Assists Director in managing annual meeting invitations, preparations, and general meeting logistics.
3. Arranges for and oversees vendors services related to area of responsibility and ensures quality and timeliness of services provided.
4. Coordinates financial activities related to area of responsibility. Approves invoices for related expenses. Provides input into the annual budgeting process.
5. Serves as contact for members and the general public. Responds to inquiries. Serves as spokesperson for the membership department as appropriate.
6. Creates and maintains site content related to area of responsibility and provides instructions/guidance to member content managers. Provides direction and assistance to sections in establishing new websites.
7. Monitors effectiveness of processes and recommends and implements improvements.
8. Supervises temporary help. Ensures delegated tasks are completed accurately and in a timely fashion. Ensures consistent application of organizational and departmental policies. May supervise Membership Associates or Membership Assistants.
9. May oversee the committee appointment process, preparing statistical analyses and compiling lists of potential committee members based on analyses. May be required to write minutes of meetings.

Required Knowledge, Skills, and Abilities: Excellent project management skills, with demonstrated ability to set priorities, manage multiple activities, and meet deadlines. Knowledge of database and Internet tools. High level of attention to detail and accuracy. Strong commitment to customer service. Advanced Microsoft Office skills, including Outlook and Excel, and knowledge of Adobe Acrobat, and Web content management with Internet-based applications. Ability to solve intellectual problems of appreciable complexity and variety using originality and ingenuity. Ability to operate using appreciable latitude for independent judgment and actions. Ability to work successfully in a team environment. Ability to develop relationships with co-workers and employees in other National Academies' departments through effective communication. Excellent written and verbal skills with a proven ability to effectively interact with all levels of employees.
Minimum Education/Training Requirements: Bachelor's degree in a related field, or equivalent knowledge.
Minimum Experience: Three years of related professional experience.
Physical Capabilities: Ability to sit at a desk and computer for extended periods of time.
Required Licenses, Certification or Registration: None.
Supervisory Responsibilities/Controls: Reports to Director. General direction is provided.
Work Environment: Office environment with occasional travel between National Academies' facilities and to off-site locations.
