The responsibilities of this position encompass a wide variety of administrative and supervisory duties including budget management, personnel management, risk management, policies and procedure development, marketing and promotions, programming, strategic planning and assessment. The Assistant Athletic Director for Internal Operations is also responsible for the administration of a comprehensive intramural and recreation program for Marymount while overseeing special events. Responsible for the daily management and operations with emphasis placed planning, scheduling, and evaluating all intramurals and recreation activities. Ensures consistent enforcement and execution of policies, procedures, and proper risk management practices. This position receives direct administrative supervision and guidance from the Director of Athletics and Recreation and is a member of the senior leadership team.

Specific Responsibilities include:

Personnel Management – Sport Administrator for multiple NCAA and club sport programs and coaches; Recruit, hire, train, schedule, supervise and evaluate student employees potentially including graduate assistants, interns, supervisors, sport officials/scorekeepers and office assistants. Assist in conducting training clinics for all team Intramural Sports. Prepare training manuals/material, operating manuals, and conduct student staff meetings and trainings. Create methods to help retain and motivate student employees.

Budget Management and Planning – Assist the Director in periodically updating the departmental strategic plan and assessment plan, preparing annual reports and annual action plans, preparing and managing annual budgets, and developing and implementing assessment activities. Continuously seek ways to directly connect departmental plans to current university priorities, including recruitment and retention.

Administration of Intramural Sports Program – Assist in the organization and management of the Intramural Sports program. Create an environment that educates and promotes sportsmanship and participation in recreational activities, in addition to providing a program in which risks are minimized. Work closely with other departmental personnel in regards to scheduling, supervision, and facility guidelines. Develop excellent customer relations by educating and communicating with participants, staff and officials.

Special Events– Collaborate with other division or university units to develop and propose university-wide special events and activities emphasizing innovative and non-competitive events that promote leisure involvement. Identify target groups with whom special programs may be co-sponsored. Actively seek new creative opportunities to partner with academic entities and enhance student learning and student satisfaction. Oversee student participation in any extramural events.

Publicity and Marketing – Assist in developing and maintaining a comprehensive marketing plan with Athletics Communication team for Intramural Sports and recreation activities including, but not limited to, print publications, social media campaigns, participation in admissions recruitment activities, and other electronic sources.

General Responsibilities – Attend department staff meetings and leadership meetings. Serve on University and divisional committees as needed. Participate in other Athletics initiatives/programs as required. Seek opportunities with other university departments to offer co-sponsored programs and events. Supervise various evening and weekend activities as needed. Perform other duties as assigned by the Director of Athletics and Recreation.

This person shall contribute to the effective team management of all relevant problems, issues and opportunities. This job description shall include, but is not necessarily limited to, the above duties. May temporarily perform other duties assigned to maintain operations and services.

Requires additional work with athletic contests as well as evening and weekend work and some overnight travel.

Minimum Qualifications

This position requires a Bachelor’s Degree and with a business focus and minimum of three (3) years related professional experience; Master’s preferred. Experience in NCAA athletics, recreation or event management also preferred.

Position Knowledge/Skills & Abilities Requirements:
• A minimum of 3-5 years of related experience
• Must have strong communications skills including ability to communicate by telephone
• Must have strong computer skills including proficiency in Microsoft Office (Word, Excel, PowerPoint)

Working Conditions:
• Ability to travel; heavy lifting required (75 pounds and over); may be required to work when the university is closed during snow emergencies.
• Ability to work nights, weekends, and some holidays
