Litigation Legal Administrative Assistant (Tysons)
TEMPORARY LEGAL ADMINISTRATIVE ASSISTANT – LITIGATION LOCATION: Tysons Corner, VA HOURS: Monday through Friday, 9:00 A.M. to 5:30 P.M. with 1 hour (unpaid) for lunch (37.5-hour work week) INTENDED START DATE: ASAP ANTICIPATED ASSIGNMENT DURATION: end of July / early August REPORTING TO: Secretarial Manager RESPONSIBILITIES: > Prioritizing assignments and preparing detailed (and often sensitive) correspondence, such as responses to requests for information or regularly recurring reports, from rough draft or dictation >Preparing other routine, and non-routine, correspondence, legal documents, forms, and presentations using advanced knowledge and skills with word processing related and other software programs >Managing the billing process to include time entry, data review and correction, final submission to meet all Firm-required deadlines, billing record maintenance, and research on disputes and discrepancies >Efficiently proofreading and editing text for grammatical and typographical errors, and occasionally for content >Scheduling appointments, making travel / meeting arrangements, and maintaining business calendars as instructed; keeping timekeepers on schedule to meet Firm-wide and practice group specific deadlines >Interacting professionally with members of other departments and varied external contacts as well as with LAA peers and practice group attorneys, assisting where needed >Effectively establishes and maintains well-organized files while managing the integrity of original client documents in various formats, such as hard copy, electronic, and various eRoom platforms >Performing related general administrative duties, such as processing expense reports, managing large document productions and trial binders, conducting online research, answering phone calls, providing coverage for teammates, preparing client mailings, and processing incoming mail >Preparing relevant documentation to be filed with various courts in hard copy and electronic format, staying abreast of filing requirements as necessary >Maintaining confidentiality, assuring that work product is accurate and presented professionally; making an effort to foster a positive rapport with all internal and external contacts >Working with various timekeepers on all pre- and post-trial assignments; traveling with the trial team when needed >Other duties as assigned QUALIFICATIONS: >High school diploma (or equivalent) required; B.A. or B.S. degree preferred >Flexibility to work overtime as needed >Flexibility to travel with the trial teams when necessary >At least 3-5 years of relevant work experience within a law firm and professional services environment required; prior litigation experience required >Advanced proficiency in Microsoft Word – redlining, comparing documents, advanced formatting, TOA / TOC creation and manipulation, and embedded hyperlinks; ability to learn other applications quickly >Intermediate to advanced proficiency in other Microsoft Office applications as well as strong computer aptitude in order to use various features of multiple software programs – Best Authority, eFiling, DocuSign, PDF Essentials, various eRoom platforms, Dropbox, etc. >Proficiency in the use of document management systems (Worksite / Filesite preferred) >Ability to efficiently read and write in order to proof and edit (using edit marks) non-routine correspondence, reports and tables for typographical (spelling and grammar) errors, and sentence structure; meticulous attention to detail is essential >Ability to draft routine correspondence, perform non-complex arithmetic calculations, and organize and maintain record-keeping and filing systems >Ability to transcribe legal documents, correspondence, and reports from rough draft, dictation, or transcription >Exceptional interpersonal and communication skills >Proactive, forward thinker who is willing to work and think with independence, handle confidential information with discretion, and accept responsibility for producing work that is consistently complete, timely, effective, and accurate >Ability to organize and prioritize numerous tasks and complete them under time constraints >Excellent organization and problem-solving skill >Ability to follow and convey instructions effectively with a high degree of courtesy and tact, including the ability to independently initiate follow-up >Good multi-tasking and time management skills >Ability to work for more than one person and prioritize assignments appropriately Please submit resumes in Word format to email@example.com.
