Performs lead administrative duties and executive level support to the Department of Family Services, Children, Youth and Families (CYF) Division Director and Self-Sufficiency Division Director. Composes correspondence for the division directors. Schedules meetings, conferences and travel. Develops and implements administrative policies, procedures, work processes and division activities. Tracks routine and sensitive inquiries, complaints, special cases, and related correspondences. Interacts with county staff, citizens and public officials to respond to inquiries and coordinate related tasks. Uses a variety of computer applications to produce complex reports and documents that may include charts, graphics and spreadsheets. Participates in work planning and division management meetings and prepares meeting summaries and notes to track assignments and commitments and follows up with staff to ensure completion of assignments. Coordinates with the CYF administrative manager and other administrative staff to ensure consistency in the implementation of administrative duties. Establishes and maintains systems for records and files. Monitors and ensures compliance with due dates for required reports, staff performance evaluations, and leave schedules. Maintains specialized databases to monitor and/or assist the directors with statistical data for the division. Assists with research and coordination of program reports, planning, data analysis and budgeting. Organizes materials, tracking registration and attendance, and scheduling and setting up meeting rooms for various meetings and trainings. Assists with activities associated with the advisory boards which may include preparing materials, attending meetings and taking notes in order to prepare minutes to track assignments and/or commitments. Works as a team with other support staff to coordinate and ensure coverage for the department's major priorities and for the efficient operation of the office. Occasional evening and/or weekend work may be required in order to provide support to the Department's Advisory Board.

Employment Standards

Any combination of education, experience and training equivalent to high school graduation and three years of experience providing administrative support in the assigned functional area(s).

Must have a valid driver's license.

The appointee to this position will be required to complete a criminal background check, a check of the Child Protective Services Registry, and a driver's license check to the satisfaction of the employer.


  • Experience supporting senior executives and/or managers
  • Experience working in a human services environment
  • Clear and concise oral and written communication skills
  • Ability to exercise tact, discretion, initiative, creativity, and independent judgment
  • Ability to work with limited direction to address identified objectives
  • Excellent organization skills
  • Extensive experience and proficiency in the use of Microsoft Word and Outlook computer software and other software applications
Sufficiently mobile to move between building floors and to set up facilities for meetings. Ability to handle multiple priorities. Ability to work under pressure. Physical requirements can be performed with or without accommodations.
