Information Analyst and Contracts Coordinator - Office of Technology Commercialization

Georgetown's Office of Technology Commercialization has responsibility for the management of Georgetown invention disclosures, patenting and licensing activities; oversight of material transfer agreements and confidentiality agreements; and the engagement of Georgetown University in the founding and growth of local businesses.

The Information Analyst and Contracts Coordinator administers all aspects related to the preparation, monitoring, execution, and recording of agreements. S/he assists managers in routine preparation of agreements for proofreading, negotiation and/or review, as well as for compliance; and provides clerical and technical support to the office as needed. Reporting to the Vice President for Technology Commercialization, the Information Analyst and Contracts Coordinator has duties that include but are not limited to:

Agreements Administration

  • Tracks and ensures execution of agreements in the department database, which is monitored and updated with the current status of agreements during the execution process and which keeps managers aware of their projects and deadlines.
  • Assists managers in preparation of agreements through proofreading, drafting, and monitoring compliance where appropriate.
  • Hand delivers, as needed, agreements to a researcher or research administrator for fast execution.
  • Corresponds with staff from other offices and institutions by email and phone to follow up on agreements.
  • Thoroughly and accurately enters information into the database to create electronic records of agreements and related files, scans executed copies of agreements, and attaches to both the database and the departmental shared drive.


  • Works with the Marketing Assistant, supports the marketing efforts using the Wellspring database, reports, and pipeline.
  • Provides assistance with printing reports, researching opportunities, and other requirements.
  • Provides assistance with marketing materials for conferences and networking functions, and on industry marketing database platforms.

Technology Support

  • Develops and implements systems of data storage and management for department electronic data.
  • Sets up audio-visual equipment for meetings and seminars.
  • Provides information technology and technical support when necessary.
  • Performs other duties and responsibilities, such as general office administrative work, to include photocopying and answering phone calls.


  • High School diploma or certified equivalency
  • 1 to 2 years of clerical/administrative work experience - including internship and/or work-study student employment
  • Experience with complex databases and web-based services
  • Attention to detail and experience with proofreading/editing
  • Strong web-based skills, as well as audiovisual and IT operational skills
  • Proficiency in Microsoft Office Suite and databases
