Business Manager, Chief Business Office - University Services

The Business Manager is responsible for operational transactions for a set of University Services functional units, including processing accounts payable, purchasing and payroll documents to include journal vouchers, purchase orders, reimbursements, deposits, and contracts. Serving as the Business Manager for the President's Office and Public Affairs, s/he provides a broad range of customer service, operational, and financial support. The Business Manager actively engages with GAO, Procurement and Contracts, A/P, Audit and other university departments to ensure that transactions meet with GAAP, audit, compliance and other rules and protocols.  In addition, s/he is responsible for financials reconciliations, as well as for navigating through all business processes established for the GMS Financials module. Reporting to the Shared Service Center's Senior Business Manager and Director, the Business Manager has duties that include but are not limited to:

Procurement and Payment

  • Upon receipt of statements of work, creates requisitions for financial approval, and if needed, develops service agreements and obtains the necessary approvals from both internal and external stakeholders in a timely manner.
  • Ensures that invoices received from suppliers are provided to Accounts Payable with the necessary documentation required for payment.
  • Tracks invoices to ensure prompt action by A/P.
  • Generates receipts for supplies/services upon payment of invoices.

Customer Service

  • Proactively manages relationship with customers with a positive and solutions oriented focus.
  • Schedules regular outreach with customers to address business needs.
  • Provides guidance to customers as to how to best satisfy their needs, given the policy and technical environment of the University.

Financial Reconciliation

  • On a monthly basis, performs a budget-to-actuals review of the business units for which the Manager is responsible, ensuring the accuracy of all transactions and assessing the budgetary position of the unit in question.
  • Resolves any errors to the general ledger promptly.

Requirements

  • Bachelor's degree
  • 1 to 2 years of experience operating in a business office - preferably on a college campus
  • Detail orientation, strong interpersonal skills, and excellent verbal and written communication skills
  • Ability to prioritize and perform multiple tasks simultaneously with little supervision

Preferred qualifications

  • Customer service experience
  • Business courses or accounting experience
