IT Project Coordinator - DCI
Department Marketing Statement:
The ideal candidate would hold a business administration and/or accounting degree from an accredited post-secondary institution and demonstrate knowledge of the following:
- Contract management and procurement procedures Mediation of contracts, consolidation of requirements. Preparation of Statements of Work and RFP/RFI documentation. Optimization of capital and operations budgets.
The candidate should have extensive experience in procurement and acquisition processes and procedures, in addition to COTR experience. Management experience in Operations and Performance management as well as in the management of IT Help Desk & IT Support teams are preferred. Ability to manage multiple projects simultaneously in a dynamic environment would be an asset.
Graduation from an accredited college or university with a Bachelor’s Degree in Management Information Science, Computer Science, Mathematics, Finance, Business, Public Administration or a related field, with a minimum of six (6) years of hands-on design/implementation and/or financial experience with project management. Candidate must have intermediate proficiency/demonstrated competence in using Microsoft Office tools (i.e. Outlook, Project, PowerPoint, Visio, Excel and Word).
Or, equivalent combination of education and relevant work experience will be considered if candidate can effectively demonstrate progressively responsible experience in design/implementation and/or financial experience with project management. Candidate must have intermediate proficiency/demonstrated competence in using Microsoft Office tools (i.e. Outlook, Project, PowerPoint, Visio, Excel and Word).

This position is responsible for coordinating activities and resources, in support of technical projects, that impact multiple offices, departments, systems, or work-flows with moderate to high risk and complexity or multiple projects simultaneously with lesser risk and complexity. The incumbent prepares reports, develops schedules, tracks budgets, updates procedures, creates presentations and coordinates with internal and external IT entities. This is professional administrative and technical work involving the planning, implementation and completion of multi-discipline tasks related to managing work for the Department of Information Technology.
Monitors contract compliance for CIP Projects and activity to ensure requisitions are properly aligned with office budget.
Assists project managers with Independent Cost Estimates to determine optimal pricing for state-of-the-art equipment, software, professional services and technical projects.
Assists in the creation of purchase order modifications to add funding to modify period of performance.
Reviews and analyzes payment discrepancies for CIP Projects once purchase order is created and assists with any additional issues.
Prepares reports, researches issues, and performs reconciliations to alleviate discrepancies with budget.
Maintains copies of all documents associated with requisitions, proposals, purchase orders and other budgetary documents for CIP Projects.
Develops process for tracking project financials, inventory, and procurements to reduce the risk of overspending and reduce budget constraints for capital and operational functions.
Advises project managers on project costs estimates and issues, and assists in tracking capital spending against IT capital budgets and prepares reports for budget presentations.
Reviews funding availability and provides funding codes for approval of software, professional services and hardware purchases and tracks procurement involving capital funds.
Assists in the analysis of the current status and forecasts of project activity, time, cost and quantity to ensure on-time completion of the project and within budget.
Assists in collecting, organizing and relaying monthly, quarterly and annual financial information related to capital projects.
Maintains cost controls for all project related activities in strict adherence to the approved project budget.
Prepares required periodic operational reports including operational statistics, accomplishments, issues and project risks.
Develops and maintains project schedules; including identifies and manages tasks, resources, level of effort, dependencies, start and finish dates.
Assists project manager in identifying and managing project risks.
Prepares various artifacts required by Information Technology’s Systems Development Life Cycle (SDLC).
Makes purchases and maintains financial records for all office credit card purchases; provides PMO office with reconciliation report on a monthly basis.
Establishes tracking report to manage vendor's invoices for time and attendance, timesheets, and work schedules.
Assists with gathering information needed for FTA audits for capital projects.
Organizes and coordinates Human Resource (HR) process for potential new hires including scheduling interviews and preparation of questionnaires, justification letters, and HR packages for processing.
Maintains and updates electronic distribution lists for office employees, contractors, organizational charts, up-to-the-date office on-call roster, IT escalation list, roster, and critical event management process flow.
Prepares and/or edits meeting minutes, presentations and tables.
Manages and coordinates communication between vendors, stakeholders and project managers.
Attends meetings, prepares meeting minutes, and identifies risks and action plan documents.
Manages and coordinates Preventive Maintenance Scheduling.
Maintains an appropriate relationship with customers and ensures that project results are comprehensible to management.
