Law Firm Receptionist (11:00 A.M. to 7:00 P.M.)
RECEPTIONIST (11:00 A.M. to 7:00 P.M.) Mid-size litigation firm in D.C. seeks a polished Receptionist to cover their front desk during the hours of 11:00 A.M. to 7:00 P.M. as well as maintain responsibility for the Firm’s newsletter. RESPONSIBILITIES: >Operating multi-line phone system (answering incoming calls, determining callers’ purpose, and redirecting callers to appropriate personnel or department) >Covering partners’ lines as needed >Taking and delivering messages or transferring callers to voicemail in the event appropriate personnel are not available >Utilizing the Firm’s paging system to locate personnel >Maintaining security and appearance of the reception area and front desk; monitoring visitors’ access >Answering questions regarding the Firm, providing callers with the address, directions, and other pertinent information >Welcoming visitors and clients, determining the nature of the visit, and announcing visitors and clients to appropriate personnel >Maintaining the Firm’s phone and home address lists as well as all other administrative lists as noted in the Firm’s Receptionist Handbook >Maintaining the Firm’s rolodex database with updated names, addresses, and telephone numbers for use by all personnel >Posting updated phone extension lists in all conference rooms, kitchens, satellite copy rooms, the telephone closet, and other areas as needed >Maintaining the telephone closet with office supplies (paper, pens, pencils, phonebooks, and chairs) >Preparing and circulating the Firm’s newsletter to all staff >Receiving, sorting, and delivering incoming first-class mail to partners >Sorting and opening Accounts Payable and date-stamps >Scheduling office maintenance requests with building management >Coordinating the scheduling and catering for the Firm’s weekly attorney lunch >Coordinating reservations and catering needs for conference rooms >Coordinating evening work-late dinner orders and HVAC >Assisting with the mass mailing of Firm announcements >Creating and printing fax cover sheets, memos, correspondence, reports, and other documents as necessary >Entering staff attorneys’ and contract attorneys’ time descriptions into the Firm’s timekeeping database; assisting secretaries with partner and associate time entry as needed >Performing other clerical duties as needed, such as filing and collating >Assisting with overflow work from the secretarial group and performing all duties as listed in the Firm’s Receptionist Handbook >Ordering flowers or gifts for clients and staff as requested >Other miscellaneous tasks QUALIFICATIONS: >Reception / office experience, preferably in a law firm; in lieu of that, at least one administrative internship >Professional demeanor with a commitment to superior customer service >Excellent interpersonal / communication skills as well as solid time management and organizational skills >Strong attention to detail >Positive attitude – energetic, eager, and willing to jump in and help when needed >Tech-savvy Please submit your resume in Word format to firstname.lastname@example.org.
