Special Assistant to the Dean - Walsh School of Foreign Service

The Edmund A. Walsh School of Foreign Service (SFS), founded in 1919, is a premier school of international affairs. At Georgetown's Washington, D.C., and Qatar campuses, SFS provides a rigorous education grounded in both theory and practice while instilling the Jesuit values of service.

The Special Assistant provides essential administrative and project support to the Dean of the Walsh School of Foreign Service.  Reporting to the Chief of Staff, the Special Assistant has duties that include but are not limited to:

Scheduling and Administrative Support

  • Coordinates the Dean's schedule, working daily with the Dean and Chief of Staff to ensure the most up-to-date calendar and resolve any discrepancies.
  • Books travel (all related transportation - air, rail, ground) and lodging for the Dean, and as needed for individuals traveling with the Dean on related business, including members of the Dean's executive leadership team.
  • Assists Chief of Staff with follow-up on Dean's action items, such as making phone calls, preparing documents, and sending correspondence.
  • Conducts background research on topics related to the Dean's initiatives as directed by the Dean and/or Chief of Staff.
  • Assists with preparation and editing of correspondence related to the Dean's initiatives.
  • Organizes data for the Dean's presentations, coordinating with other Dean's Office team members and offices as needed.  
  • Prepares reimbursement or other financial documentation for the Dean's transactions as necessary.
  • Works with the Office Manager or other team members as needed in support of the Dean's technology, supply, and facilities needs.

Event Coordination

Coordinates limited internal events hosted by the Dean, such as private lunch meetings hosted by the Dean and related events in the Dean's office, to include scheduling, space reservations, invitations, catering, equipment, setup and cleanup, and maintaining necessary equipment and supplies.


  • Bachelor's degree
  • 2 years of experience in support of a senior executive, preferably in a university setting
  • High level of attention to detail and ability to track multiple action items
  • Commitment to exceptional customer service
  • Proven ability to manage sensitive information with discretion
  • Interest in international affairs
  • Proficiency in all current office technologies and administrative software
  • Preference for experience with research, communications, and event management
