contributing to the success the team has already achieved Job Description Reporting to the Executive Leadership Team the Director of Administration is responsible for the efficient and effective administrative operation of Northrop Realty and for ensuring delivery of exemplary client service from all staff functions This individual will be in a critical leadership role and will act as a responsible advocate for office and staff concerns and needs The Director of Administration will oversee and manage the administrative and marketing staff in all office locations The individual will ensure that the administrative functions of each department run smoothly They will also be responsible to schedule and hold meetings as well as be responsible for creation of agendas for individual office and company wide meetings Skilled in human resources interviewing hiring onboarding and training practices the Director of Administration will need impeccable communication skills to work with our employees to implement and maintain strong relationships They will also act as a liaison with our Employment Attorney The Director of Administration will assist with supervising our IT and Photography vendors as needed The individual must have both leadership and time management skills for managing not only people but resources as well The individual will work to improve processes and policies for each department and lead long term organizational planning This individual is expected to be an exceptional communicator and relationship builder as they will collaborate daily with Executive Leadership The Director of Administration will assist Executive Leadership with any immediate needs For example if Executive Leadership needs to travel for business the Director of Administration will be responsible for making any travel arrangements necessary Specific Responsibilities Include Strategic Leadership This individual will provide overall strategic and tactical administration to ensure all department functions and staff are aligned in providing seamless agent and client service They will provide leadership in addressing current and anticipated needs by developing and deploying effective solutions in concert with the companys overall objectives Operational Leadership The individual is responsible for creating a culture of operational excellence and accountability in managing business processes and activities in support of both the agents and clients Additionally the individual will maintain best in class service levels Communication Leadership This individual will conduct regular department and staff meetings to ensure all employees are kept informed of significant office and company information In addition meetings will be conducted with Leadership as appropriate to relay information on staff and office locations Human Resources This individual will oversee the organizations human resources requirements including employee interviewing hiring onboarding and managing The individual will maintain personnel records and ensure that personnel policies and agreements are continually up to date Manage Administrative Staff for all office locations approximately staff members Technology This individual will work closely with our IT vendor to manage our IT and phone system as well as evaluate our technology needs when needed They will also work closely with our Photography vendor to ensure we are providing state of the art services to our agents and clients Coordinate long term organizational planning The individual will help to coordinate the implementation and operation of Northrop Realtys strategic plan Other responsibilities as assigned by Leadership Qualifications Knowledge Skills and Abilities Proven management leadership skills while taking a hands on implementation approach when needed for a small to mid size organization Solid business acumen strong operational skills and a track record for delivering results Have past success in building relationships and trust with executives and staff at all levels Excellent interpersonal and relationship building skills Flexibility and ability to work on multiple projects simultaneously Be able to balance competing priorities in a time sensitive environment Have the ability to change direction quickly to meet the dynamic needs of the company Ability to work effectively as part of a team as well as be proactive Excellent written and verbal communication and presentation skills including the ability to articulate in a compelling fashion Ability to use considerable judgment initiative and independence Ability to maintain confidentiality Ability to work comfortably with employees with sensitivity to issues as they arise Some local travel required Education and Experience Minimum of years of management experience in a real estate or a professional services organization is required Minimum of years of experience in human resources for a small to
