The Mortgage Final Documents Manager is primarily responsible for the daily workflow within the department, which may include review, processing or servicing of loan documentation and support. Ensure that all work has been completed and departmental deadlines have been met. Analyze and recommend changes to systems and operational procedures that will improve the delivery of service. Resolve any problems, issues or questions, both verbally and in writing, to ensure customer satisfaction and to maintain productive relationships with other bank departments. Comply with bank policies and federal, state and other governmental rules and regulations for multiple banks in multiple states. Major Duties and Responsibilities: . Manage a small team that will image, review and track all final documents received with closed loan files to include the recorded mortgage and final title policy. . Ensure all mail, trailing documents, are received and updated on the mortgage production system. . Contact settlement agents to retrieve trailing documents and audit documents received to data on mortgage production system, as well as, investor guidelines. . Written and verbal correspondence with settlement agents and title companies to obtain outstanding closing documents and corrective documents. . Track receipt of mail, trailing documents, and update mortgage production system (POINT) accordingly. . Audit trailing documents (Mortgages, Assignments/ Transfers, Loan Modifications, subordinations, Final Title Policies, and any other require documents), per investor guidelines and in comparison to data in Point. . Generate and follow-up on investor reports, daily log sheets, and document requests as needed. . Access and print legible reports from assigned investors websites and pipelines and evaluate all conditions of the report with an understanding of the problems listed. . Communicate with others regarding exceptions as they arise. . Work closely with both Internal and External Customers such as co-workers, Loan Production Office employees, mortgage branches, settlement agents, and title companies. . Follow up on documents requiring corrections, including endorsements to Title Policies and preparing recorded documents for Re-recording. This includes communicating with the investor as to the corrections needed and possibly notifying the borrower that the corrections will be made. . All job duties must be performed in a timely manner, especially those which may cause financial consequences to the company. This includes following the assigned investors reports and meeting the guidelines established by the investor or Presidential. . Other projects and/or duties as assigned.Position Requirements: . High school diploma or equivalent required . 2 years of experience supervising others . Extensive knowledge of mortgage loan documentation to include final documents (mortgage and title polices) . Demonstrate accuracy, thoroughness and extreme attention to detail . Ability to plan and prioritize workflow based on deadlines . Work effectively under pressure in a fast-paced environment . Strong organizational and communication skills required . Familiar with working in a paperless environment . Candidate must be self-motivated . Works independently as well as part of a team . Ability to handle multiple tasks . Excellent customer service skills . Able to adapt to changes or unexpected events . Working knowledge of all standard Windows and Microsoft Office Software .
