Office Manager/Administrative Officer - Office of General Counsel

Georgetown's Office of General Counsel is responsible for the provision of legal services to the University and its officers, directors, administrators, faculty and staff. The office provides legal advice and counsel on the broad spectrum of legal issues that arise in the operation of the University, and is responsible for engaging the services of outside law firms for specialized legal needs, and for coordinating and supervising their work.

The Office Manager/Administrative Officer performs a variety of complex and confidential administrative and financial duties that require the consideration of multiple variables to determine proper course of action. S/he has considerable visibility in interactions with senior leaders at the university as well as numerous university staff, and develops and maintains positive working relationships with various university offices and counterparts to ensure proper representation of the Office of the General Counsel. Reporting to the Vice President and General Counsel, the Office Manager/Administrative Officer has duties that include but are not limited to:

Administrative Support

  • Provides direct high-level administrative support to the attorneys in the Office, including scheduling appointments and meetings, managing document flow, making travel arrangements, and handling inquiries and requests from internal and external constituents. 
  • Prepares, revises as instructed, and proofs legal documents and letters.
  • Researches and obtains information requested by attorneys or paralegals.
  • Completes various forms and processes, including legal filings.
  • Compiles reports and prepares agendas and background materials.
  • Maintains databases.
  • Coordinates special projects by developing project plans and schedules.

Office Administration

  • Manages all office operations, including office supplies, office filing, and logistics for office functions.
  • Liaises with other university offices such as facilities, university information services and telecommunications to ensure appropriate services and support are provided to the Office of General Counsel. 
  • Manages new hire on-boarding.
  • Supervises the re-organization and on-going maintenance of files and filing system and increased adoption of electronic storage methods.
  • As assigned, leads and provides functional guidance to lower-level support staff.

Financial Administration

  • Handles all interface with the Business Office, including verifying expenses with attorneys and providing the Business Office with all invoices and appropriate payee. 
  • Engages in budget tracking, reporting and reconciliation.
  • Maintains complete and organized records of all ProCard transactions and invoices.
  • Coordinates reimbursements for attorneys.


  • Bachelor's degree
  • Ability to proactively work independently, efficiently, professionally, and sometimes under pressure, with only general supervision
  • Ability to exercise excellent judgment in working with various constituencies, as well as excellent organizational and communication (verbal and written) skills
  • Ability to work effectively across departments and offices, engaging resources in an appropriate manner
  • Ability to work as part of a team in a collegial environment, and the ability to exercise discretion and diplomacy at all times
  • Strong attention to detail and analytical skills
  • Advanced proficiency with MS Word and experience with Excel and PowerPoint; excellent typing and proofreading skills; and proficiency in using on line calendars and e-mail systems
