The Front Desk Coordinator serves as the initial contact person for the Office of Admissions and often for the entire Law Center, and fosters an overall positive impression of the Law Center and the application process. S/he is responsible for a heavy amount of administrative support to the Office of Admissions, handling the office's front desk phone and general email account, answering and directing general questions from callers and visitors. Reporting to the Manager, the Front Desk Coordinator has duties that include but are not limited to:

Front Desk

  • Greets and answers general questions from callers, visitors, and emails as first point of contact for both JD and Graduate.
  • Monitors and distributes messages from the general JD & Graduate voicemail boxes.
  • Supports Financial Manager with inventory maintenance by monitoring stock of informational materials, food, and beverages at the Front Desk.

Administrative & Technology Support

  • Provides administrative and technology support to a portion of the JD and Graduate applicant pools.
  • Reviews, sorts, and distributes emails from the general JD and Graduate email accounts in a timely manner.
  • Sorts, distributes and processes of all correspondence, requests, and updates in an accurate and timely manner to assure efficient and high-quality customer service.
  • Assists in annual "wrap-up" process.
  • Assists with prospective applicant data entry.
  • Supports recruiting travel by managing mailings of brochures and other publications.

Routine Correspondence

  • Sends daily email to confirm receipt of new applications.
  • Sends biweekly email to prospective applicants who participate in the Introduce Yourself survey.
  • Sends biweekly Thank You emails to JD and Graduate recommenders.                      

Social Media Management

  • Monitors and regularly posts new content to Admissions' lnstagram and Twitter accounts.
  • Creates, monitors, and transfer ownership of JD and Graduate admitted student Facebook groups each admissions cycle.
  • Manages social media-based communications campaigns, such as Open House and Orientation competitions.

Requirements

  • Bachelor's degree
  • 2 years of relevant administrative and customer service experience - preference for reception and data entry experience
  • Ability to multitask, often amid conflicting demands and tight deadlines
  • Preference for knowledge of higher education administration, and familiarity with ACES2 and Banner Student Information Systems software
