Position Announcement #119002 – Executive Coordinator

CPB is currently seeking to hire an Executive Coordinator (Level 4). Salary $40,000 - $50,000. The position reports to the SVP, TV Content and Innovation.

General Description:

To provide advanced administrative, research and project support to the SVP of TV Content and Innovation, VP of Diversity and TV Content, VP of Content Grants Management, VP of Digital Strategies and the Television team.

Specific Duties:

  • Manages calendars for SVP and VPs, coordinates meeting logistics and produces briefing materials for meetings, makes travel arrangements, drafts meeting reports, maintains files, and maintains strict confidentiality.

  • Works to ensure smooth administrative flow of complex and multifaceted department activities. Provides administrative support, coordinates staff meetings, updating department staff calendars, and processing travel and expense reports. Handles departments’ general office needs, orders office supplies and makes small purchases in conformity with company policies and procedures.

  • Drafts weekly activities reports and assists with research and the preparation of reports for the TV department as assigned.

  • Serves as back up to Project Coordinator on project management and tracking. Maintains calendar of TV industry and related events and activities (e.g., PBS Annual Meeting, Emmy Awards, Peabody Awards) and tracks CPB-funded programs which receive nominations and awards.

  • Plans logistics and makes arrangements for large meetings and other events. Handles communication with participants, arranges travel, secures/prepares appropriate meeting spaces, secures and oversees catering services, interacts with hotel and travel agency staff, prepares itineraries, verifies charges, and maintains expenditure records.

  • Maintains broad and current knowledge about departmental activities, CPB, public broadcasting, and the media industries in general.

  • Uses own discretion and exercises good judgment in organizing work and setting priorities for maximum efficiency. Assures high quality and timely work output. Revises own work for accuracy and thoroughness. Uses technology well to support efficient work output.

 Performs other duties as assigned. Required Qualifications:

  • Bachelor’s degree or equivalent experience.

  • Two years of related work experience within a similar environment and with similar

    responsibilities.

  • Previous experience performing research activities, as well as managing large group meetings.

  • Excellent oral and written communication skills, with demonstrated ability of generating original

    documents, correspondence and presentations.

  • Strong customer service and interpersonal skills demonstrating the ability to work with all levels

    of staff, including senior level management, and interact effectively and professionally with tact

    and diplomacy.

  • Demonstrated organization and follow-through skills, as well as the ability to prioritize

    workflow, proactively manage multiple assignments and customers (internal and external) and

    demonstrate flexibility and time management capabilities.

  • Demonstrated initiative and proactive behaviors relative to completing work, and meeting

    deadlines while working both independently and in a team environment.

  • Advanced thinking skills with the demonstrated ability to grasp and apply knowledge and

    relevant information in decision-making – exercising judgment, assessing situations,

    determining appropriate action, and following-through with limited supervision and direction.

  • Advanced computer proficiency including extensive experience utilizing Microsoft Office (e.g.,

    Word, Excel, Outlook, and PowerPoint) and utilizing/maintaining databases.

  • Ability to learn quickly learning and apply new applications.

  • An attention to detail and strong proofreading skills to ensure a high level of accuracy.

  • Competent math skills.

  • Demonstrated ability to handle confidential information with discretion.

    Desired Qualifications:

    • Experience in digital or media industry.

    • Previous experience performing budgeting activities.
