Performs a wide range of operational administrative functions and technical support to the DC Long Term Care Ombudsman Program Director and program staff. Serves as the programs systems administrator for the Ombudsmanager database to ensure legal and grant requirements are satisfactorily met. Generates and prepares data reports; individual and program, etc. Manages and distributes confidential live and recorded hotline calls and inquiries to director and program staff. Generates and/or assists in the preparation of reports and correspondence related to the grant reporting guidelines and requirements. Independently and as directed by program director, performs routine database queries, audits and analyzes data and advises director based on findings to ensure case, complaint and activity data entry and accuracy for overall program efficiency and integrity. Generates weekly, monthly, quarterly and ad hoc data reports to satisfy program requirements, track program goals and objectives by creating charts, graphs and program presentations, etc. as needed. Provide database assistance to the ombudsman staff when needed. Processes and updates the LCE BOX database electronic filing system with resident discharge, transfer, relocation notices and incident report notices daily. Operate and maintain the ombudsman program hotlines for receipt of and dissemination of complaint calls to appropriate staff in a timely manner for investigation. Answers simple call inquires and with referrals to appropriate resources that is consistent with the instruction and guidance of the DC Long Term Care Ombudsman Program. Coordinates program mailing productions and dissemination of materials with staff and/or volunteers. Reserves meeting rooms, handles conference room set-up, catering needs for program and outreach events.Operate and maintain the ombudsman program hotlines for receipt of and dissemination of complaint calls to appropriate staff in a timely manner for investigation.
