Assistant Director of Graduate Admissions - Graduate School of Arts and Sciences

The Assistant Director of Graduate Admissions is responsible for the technical, administrative, and personnel operations in the Graduate Admissions Office - to include enforcing Graduate School policies and procedures; advising prospective students on programs; instructing faculty and staff on best practices regarding administration of duties, recruitment and counseling students on the admissions requirements for 80 graduate programs; and managing the implementation and maintenance of technical processes, and the computation and calculation of statistical information for University reporting and analysis of recruitment and admission activities.  Reporting to the Associate Dean of Admissions, the Assistant Director has duties that include but are not limited to:

Admissions Decisions

  • Reviews program recommended decisions on applicant files.
  • Evaluates regular and special student admission decisions.
  • Coordinates deferral decisions with faculty and program administrators.
  • Analyzes applicants' academic credentials for adherence to minimum admissions standards.
  • Translates documents and verifies transcript authenticity based on the particular system of education evaluated. 
  • Identifies degrees awarded and evaluates equivalencies to US degrees. 
  • Reviews calculated GPAs.
  • Prepares written offers of admission.
  • Maintains the academic integrity of the Graduate School through detailing appropriate conditions of admission to applicants.
  • Coordinates admissions efforts with other staff for merit-based aid offers and identifies international students needing immigration information and support.
  • Runs and maintains reports on applicants; and uses reports to evaluate various aspects of the applicant pool.
  • Compiles and computes data required for end of cycle reports as assigned.

Data Management

  • Manages applicants' academic credentials and evaluates information and documentation for appropriate search/match processing.
  • Scans applicant credentials.
  • Tracks conditions of admission.

Events and Outreach

  • Manages prospect events and organizational outreach.
  • Coordinates events such as graduate information sessions, webinars, and Education USA contacts for the Graduate School. 
  • Communicates with prospects and departments to coordinate campus visits. 
  • Participates in planning for recruitment activities.


  • Supervises and trains student and temporary staff.  
  • Manages work schedules, training, and daily assignments pertaining to admissions duties (both prospect outreach activities and administrative tasks).


  • Advises faculty, staff and students on Graduate School policies and procedures regarding the admissions process, systems, and individual program requirements. 
  • Answers prospect and applicant questions via multiple communication methods.
  • Maintains knowledge of admissions requirements.
  • Recruits and counsels prospective students.
  • Works with students via phone, email, and in person  at the office; attends graduate education fairs; participates in online and on-campus information sessions; and coordinates meetings and making presentations for special  groups (for example, international students, college honors, and minority groups).

Other Duties as Assigned

  • Participates in strategic planning and updates/upgrades to processes, systems, and website/forms.
  • Assists with duties of other operations in the Graduate School (for example, graduation, registration, enrolled student service issues, and transfer of matriculated student files).
  • Identifies problems and issues in system functionality with University Information Services, graduate departments, and Graduate School staff. 
  • Tests new systems.
  • Writes and produces training guidelines for graduate dept. staff.  
  • Handles admissions duties of other staff during absences/leave, documentation of admissions procedures, specialized training, and supervision of part-time/student staff.


  • Bachelor's degree
  • 2 to 3 years of experience in higher education admissions.
  • Administrative experience and high general technical competency.
  • Preference for expertise in foreign credential evaluation, international educational systems and/or translation / language skills
