Position Summary:

Our Talent + Properties headquarters is looking for a Receptionist/Office Services Coordinator.  As the first person our employees and visitors meet upon arriving at our office, it’s essential that you are professional, personable and articulate. In addition to greeting visitors with a smile, your responsibilities will include routing calls and faxes, sorting incoming mail, managing the conference room booking system, and overseeing the physical resources of the office.  You will also support the Human Resources team with posting job openings, processing applications and maintaining employee records.

Responsibilities and Duties:

  • Answer and transfer incoming calls
  • Welcome visitors and notify Octagon staff that their guests have arrived
  • Manage calendars for conference rooms; prepare conference rooms for meetings and clear rooms after meetings
  • Sort and distribute incoming mail, packages, faxes and checks
  • Maintain and update telephone listings and distribute to staff monthly
  • Conduct daily checks of office common space to ensure that all furniture and equipment are in working order and that shared spaces are neat and organized
  • Monitor office equipment, and coordinate maintenance, repair and lease agreements on equipment
  • Order and maintain office supplies
  • Clean and stock kitchens, load and empty dishwashers daily, empty refrigerators on a weekly basis
  • Manage position postings on Octagon’s website and schedule interviews
  • Manage the HR general email account; handle routine inquiries independently and consult with HR team regarding non-routine inquiries
  • Sort paperwork, create files and assist in document organization and filing for HR
  • Provide administrative backup to office staff as needed
  • Other reasonably related duties as assigned

Required Qualifications:

  • Associate’s or Bachelor’s degree and one to three years of receptionist/administrative support experience, or equivalent years of related work experience
  • Punctuality, reliability, responsibility with work schedule and ability to prioritize work
  • Excellent organizational skills and attention to detail
  • Professional appearance and attire, calm demeanor and positive attitude
  • Ability to exercise good judgment and discretion, especially with regard to sensitive or confidential personnel or organizational matters
  • Pleasant phone manner excellent oral and written communication skills
  • Proven track record of ability to multi-task, meet deadlines and remain calm under pressure
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook & PowerPoint)
  • Ability to work overtime as occasionally needed, at times with little or no notice, and to be reachable via cell phone
  • Ability to work independently and within a team
