Summer Hours Monday 7:30 am –4:30 pm, Tues 7:30 am –4:30 pm, Wed 7:30 am-4:30 pm, Thurs 7:30 am –4:30 pm, Fri 8:00 am-12:00 pm Fall, Winter and Spring Season Hours Monday 8:00 pm-5:00 pm, Tuesday 8:00-5:00 pm, Wed 8:00-5:00 pm, Thurs 8:00-5:00 pm, Fri 8:00 am-12:00 pm

Enjoy managing?  Join our busy Orthodontic Practice in Manassas, VA and 1-2 days a week in Ashburn, VA.  We are seeking a dedicated Practice Manager for an Orthodontist Practice.  This is a Manager position overseeing and managing the day to day tasks in Operations, oversight of the Clinical Assistants and directly supporting the Doctor.  In this role you will be responsible managing the operations staff as they conduct operations in financial account management, daily deposits, collections, scheduling patients.  You will also conduct and manage payroll, ordering, coordinating events, managing all staff and managing the weekly marketing tasks and events.  This position is the heartbeat of the office gaining respect and confidence from the employees.  We are looking for a detailed manager who has 5 years or more in managing collections for a dental practice which consists of patient and insurance collections.  You must have detailed knowledge of insurance claims and expert ability in managing this as our business is gravitating more towards insurance while insurance companies are paying more for orthodontics services.  You must have sound and consistent management skills in managing the staff to stay on target for billing, scheduling, following with requests and instilling a proactive, not reactive, mindset to the employees.  This position pays 25-27/hour based on the following experience level and validated references from former employer supervisors. 

·         25.00/hr-6 to 7 years of experience

·         26.00/hr-8-10 years of experience

·         27.00/hr-11 or more years of experience 

Salary is non-negotiable and must be validated by the position level performed and years of experience managing a dental or orthodontic practice.   

Responsibilities-these are the day to day duties

  • Managing staffing schedules as it relates to patient schedules
  • Managing Operations Staff of Account Managers, Patient Coordinator and Clinical Assistants ·         Managing and mitigating patient complaints
  • Managing the monthly collections process and produce collections reports to the Dr. and the Operations Officer of the company as required
  • Manage insurance collections and ensure staff is providing the right level of rigor and follow-up to get the business paid within the stature of limitation for insurance payments
  • Provided timely feedback to employees for disciplinary measures and monitoring progress ·         Reviewing daily deposits for accuracy and correcting any errors
  • Leverage Orthodontic Practice Mgt software to run reports and make staff more efficient with learning about the features and functions of the software
  • Patient account management and updates daily
  • Calling patients for delinquent accounts and recommending referrals to outside collections after no payment in a significant amount of time
  • Conduct time and attendance payroll and produce reports for Accountant, Operations Officer and the Dr. as needed

Other Mandatory Qualifications

  • Dental Practitioner or Orthodontic experience only
  • Experience supervising at least 3 employees in a practice
  • 3 Professional references that attest to your ability to perform in your function previously related to the requirements
  • Expert knowledge working with insurance companies to drive faster payouts
  • Proficient with Microsoft Word, Excel
  • Ability to multi-task and shift projects as needed
  • Pleasant demeanor and welcoming
  • Problem solver and troubleshooter for unexpected moments
  • Good communication skills
  • Ability to work in a team environment
  • Knowledgeable with Dolphin and/or Ortho2 Orthodontic software is preferable
