Administrative Assistant (Legal Field)
An award-winning attorney search firm in Washington, D.C. is seeking to hire a full-time Administrative Assistant. There are two primary goals for this position: (1) use your strong organizational skills to be the “right-hand person” to the firm’s recruiters, and (2) assist with various administrative office projects. If you find it rewarding to keep things highly organized and moving forward, and also are resourceful, responsive, adaptable, and very detail oriented, then this could be the ideal position for you.
>Calendar Management: Managing conference room calendar, scheduling appointments, etc.
>Scheduling Interviews: Coordinating and scheduling interviews (via phone and/or email) between attorneys and law firm clients.
>Managing Write-In Candidates/Clients: Serving as first point of contact with attorney candidates and clients.
>Drafting/Sending of Correspondence: Entering information into templates of letters/emails, preparing letters/emails for review by recruiters, and sending information via email.
>Meetings: Preparing materials for meetings and client presentations.
>Marketing: Assisting with the preparation of marketing materials (for website, client meetings, law school presentations and industry conferences).
>Data Entry: Entering notes and data into the firm’s database.
>You’re Organized/Focused on Details: You naturally keep to-do lists in your own life and find it rewarding to check the boxes. You pay your bills on time and don’t like to let things linger too long. Some may call you “Type A” or a “perfectionist,” and you are proud of that.
>You’re a Good Writer/Proofreader: This position will involve a lot of correspondence with lawyers and law firms, resume review, cover letter preparation and editing of marketing materials. Having strong writing/proofreading skills is critical, as we are judged on the quality of our work product. Typos and errors are unavoidable but are the exception and not the norm. If you enjoy “wordsmithing,” take pride in making something good even better, and naturally tend to proofread before hitting “send,” you could excel in this position.
>You’re Flexible: On some days, there can be lots of moving pieces with interruptions. The ability to change gears and keep numerous balls in the air, while also following through on certain tasks, is a skill that is necessary in this entrepreneurial environment.
>You’re Resourceful and Self-Starting: You tend to first try to figure things out on your own, but know when to stop and ask the right questions. You enjoy finding solutions and “fixing” things.
>Bachelor’s degree with a record of strong academic performance.
>1-2 years of administrative support experience, ideally in a law firm or comparable professional services firm.
>Advanced proficiency with Microsoft Outlook, Word, and Excel.
