Seeking a bright, dynamic, confident, pleasant, and polished Executive Assistant (EA) to support the President & CEO.  Must have 5+ years experience working for a Government Contractor as an EA to the CEO/President.   Excellent communication skills required to interact with high-level company executives and senior level government and industry executives. Must be able to handle sensitive and confidential information with utmost discretion. As the gatekeeper, keep CEO on point with continuous meetings, prepare correspondence, provide materials/prep. for meetings. Ability to anticipate and communicate effectively (both oral and written). MS Office required, B.S. Degree required, 8+ years demonstrated experience as a C-Level EA required. Security Clearance a plus.

Position Responsibilities:

C-Level Project Support (50%): 1) Successfully plans, manages, and executes all aspects of special projects, as assigned. Coordinates and tracks, resources, deadlines and deliverables from project inception through completion. 2) Coordinates collection and dissemination of project related information. 3) Maintains updates and monitors project plan templates to track progress and measure deliverables and completion of assignments. 4) Streamlines project execution to expedite achieving goals. 5) Provides updates to stakeholders regarding relevant changes and ensures all documentation is maintained and completed. 6) Detects situations that may cause risk to completion of the project and escalates issues as appropriate.

Executive Administrative Support (50%):  1) Manages active calendar of appointments; completes expenses reports and composes correspondence that is often confidential. Interacts with executives in determining the executives’ calendars, making independent decisions in prioritizing and problem solving calendar conflicts and making judgments about schedule priorities. 2) Organizes and independently prepares detailed travel plans, itineraries, and agenda; and compiles documents for travel-related meetings, while optimizing cost-benefits. 3) Plans, coordinates and ensures the executive’s schedule is followed and respected. 4) Researches, prioritizes, and follows up on incoming challenges and concerns addressed to the executive, including those of a sensitive and confidential nature. 5) Provides a bridge for smooth communication between the executive and internal/ external stakeholders; demonstrating leadership to maintain credibility, trust and support. 6) Works closely and effectively with executives to keep them well informed of and prepared for upcoming commitments and responsibilities, following up appropriately. 7) Provides leadership to build relationships crucial to the success of the company, and manages a variety of special projects for executives some of which have organizational impact. 8) Completes critical aspects of deliverables, including drafting correspondence, presentations and complex documents and other tasks that facilitate the executives’ ability to effectively lead the corporation. 9) Manages incoming and outgoing communications (including mail, telephone, e-mail and fax) and initiates appropriate responses on executives’ behalf. 10) Acts as subject Team Leader and Subject Matter Expert for administrative support staff. 11) Provides back-up support for other administrative support positions, including reception, when needed and may also train other clerical staff. 13) Records, transcribes and distributes minutes of leadership meetings and staff meetings as needed.
