Program Associate, India Initiative - Office of the Vice President for Global Engagement

The Georgetown University India Initiative, founded in November 2015, builds on Georgetown's core strengths to advance research and teaching around India and world affairs and create a platform for high-level dialogue among American and Indian leaders from government, business, civil society, and the academy. 

The India Initiative Program Associate (PA) plans and executes the diverse activities of the India Initiative, including its events and programs. Under the direction of the Assistant Director for Programs and the Initiative Director, he/she manages initiative events, promotes programs collaboration with Georgetown's Office of the Vice President for Global Engagement, and provides administrative support to the Director and Assistant Director for Programs on all aspects of day-to-day operations. Reporting to the Initiative's Assistant Director for Programs, the PA's responsibilities include but are not limited to:

Event Management

  • Managing initiative events, including, but not limited to, conferences, lectures, VIP visits, book talks, recognition ceremonies, receptions, and lunches, from setup to cleanup
  • Assisting the Assistant Director for Programs with the development of event programs
  • Negotiating contracts with vendors; ensuring timely submission and approval of contracts
  • Reserving venues
  • Generating advertisements, invitations, and associated correspondence; creating/updating mailing lists
  • Conducting background research on speakers
  • Coordinating with media, student groups, or any other organization involved in the event
  • Coordinating with Global Engagement Communications on media for events
  • Coordinating with the Office of Communications on protocol and security
  • Arranging visitor transportation and lodging
  • Processing payments to vendors and reimbursements
  • Reconciling all financial transactions associated with events

Program Administration and Support

  • Serving as Expense Preparer and Requisitioner in GMS
  • Administering the Georgetown-India Fellowship program, coordinating fellows' visits to Georgetown and other activities
  • Arranging travel of University officials related to the Initiative
  • Assisting new India Initiative faculty, staff, and students with onboarding as necessary

Communication and Outreach

  • Creating, maintaining, and promoting content on the Initiative's website and update social media on a daily basis
  • Assisting the Assistant Director for Programs with building a content marketing strategy for the Initiative
  • Coordinating with the Office of the Vice President for Global Engagement and the Office of Advancement to prepare briefings for trips of key university officials to India/South Asia
  • Designing and publishing various promotional materials, newsletters, and annual reports for the Initiative
  • Working closely with the Global Engagement Communications team on visual identity, branding, and events that will generate media coverage 
  • Collecting data on India-related activities across different units at Georgetown University for reporting purposes and in preparation for grant opportunities
  • Assist the Assistant Director for Programs with building and maintaining Initiative networks in India/South Asia, as well as those in the Washington, D.C. area

REQUIREMENTS

  • Bachelor's degree
  • Proficiency in MS Office and computer software applications, online database management, newsletter management tools, and social networking platforms
  • Excellent coordination and management skills and research and analytical capabilities
  • Ability to plan, analyze, and coordinate multiple projects
  • Strong writing and communication skills
  • Detail orientation and commitment to accuracy, with the ability to work on a schedule independently and under pressure

ADDITIONAL SKILLS/QUALIFICATIONS DESIRED

  • 1 to 2 years of professional experience, preferably in higher education, communications, event planning, or international relations
  • Interest in South Asia
  • Familiarity with Adobe products
