The Grants and Contracts Administrator is responsible for all administrative and financial activities required for the effective and efficient management of budgets and finances. S/he is responsible financial management, grants management, and coordination with relevant offices and Principal Investigators.

Grants Administration

  • Supports the assigned Centers and Institutes in developing, drafting, and editing proposal budgets; developing corresponding budgets; and submitting proposals and reports in a timely manner.
  • Collects and tracks required proposal elements and assisting with submission.
  • Monitors research grants and fulfills financial and programmatic reporting requirements.
  • Interprets regulations and guidelines of program funding for standard grants.
  • Works directly with Sponsored Projects Accounting Office and PIs in the preparation of periodic financial reports for sponsors.
  • Coordinates and collaborates with all relevant Georgetown University departments and offices that engage in grant activities, such as Georgetown Law's Development Office, Office of Financial Affairs, Sponsored Projects Accounting Office and Office of Research Services.
  • Keeps confidential all sensitive information that is essential to the role.
  • Works closely with the Centers and Institutes, Development Office, Office of Research Services, and the Sponsored Projects Accounting Office to ensure that all accounts are in compliance with funders' requirements and university procedures and governing contracts.

Financial Management

  • Administers financial management of the assigned Centers and Institutes relying on grant funding.
  • Ensures timely setup of payroll allocations for new awards and makes any necessary updates to existing awards in consultation with Pl and the Payroll department.
  • Reviews and approves GMS (Georgetown Management System/Workday) transactions associated with grants for assigned portfolio.
  • Maintains electronic and/or hard copy budget/financial files in compliance with University policy.
  • Monitors and reconciles all assigned grants and cost centers to ensure accuracy and take any necessary corrective action in a timely manner.
  • Tracks cost share activities and ensures that they are booked correctly.
  • Maintains financial records to monitor Centers & Institutes' spending.
  • Provides and trains PIs and program staff with information on new University fiscal policies and sponsor regulations.
  • Monitors spending compliance with grant budget and Georgetown Law policies and procedures.
  • Reviews financial activity at the end of the reporting period (both interim and final) in line with the worksheet provided by the Sponsored Projects Accounting Office and makes any necessary corrections in consultation with PIs and obtains their signature for submission.
  • Provides budget forecasts and financial reports in support of assigned Centers & Institutes' program activities.
  • Provides audit support relating to grants and contracts for Centers and Institutes.

Contracts & Subawards

  • Coordinates and reviews sub-recipient package for GMS setup, reporting, and closeout.
  • Reviews requisitions for contractors and sub-recipients in GMS for correctness and budget alignment.
  • Reviews and approved requisitions for the purchase of goods and services to be paid for using grant funds.
  • Reviews and approves payment requests submitted in GMS to pay for goods, services, and honoraria paid for using grant funds.

Requirements

  • Bachelor's degree
  • 2 years of experience with financial management and/or grant administration, multitask management, and interaction with senior University Administration, faculty or other senior staff
  • Proficiency with budget/Excel, Word, and database management
  • Strong skills in organization, time management, critical thinking, and relationship building skills

Preferred qualifications

  • Accounting experience and certifications
  • Experience in Georgetown University systems
