Executive Assistant to the Dean & Executive Vice President - Georgetown University Law Center

The Executive Assistant to the Dean & Executive Vice President provides executive level support to the Dean and Executive Vice President in a wide range of responsibilities.  In an important and highly visible role, s/he serves as liaison between the Dean's Office and Associate Deans, Law Center faculty, staff, and students, members of the Georgetown community, and other external parties. Reporting to the Director of Strategic Planning, the Executive Assistant has duties that include but are not limited to:

Management of Daily Materials and Schedule

  • Manages the Dean's daily schedule. Confirm appointments, support meetings, resolves conflicting priorities, and ensures the Dean is on time, organized, and well-prepared for each meeting/appointment.
  • Makes adjustments to daily plans without causing disruption.
  • Screens all inquiries for the Dean and provide thoughtful recommendations for response.
  • Ensures all necessary support is provided for the Associate Dean when conducting meetings, speeches, and presentations.
  • Follows up on critical requests in a timely manner.
  • Gathers background information, researches issues, preps briefs, and summarizes issues to conserve the Dean's time.
  • Provides pertinent information and recommendations to support the Dean and his or her activities.
  • Appropriately staffs the Dean at events and meetings.

Administrative Support

  • Arranges logistics for meetings and teleconferences, including Zoon information, catering, and other needs.
  • Manages business travel, including transportation and accommodations.
  • Along with the supervisor and Dean's Office members, establishes process that meet the evolving needs of the Dean and Executive Vice President.
  • Processes invoices, expense reports, and manage procurement card reconciliation for Dean's Office members.
  • Monitors and improves business processes by leveraging technology and organization.
  • Along with supervisor, establishes objectives that proactively meet the Dean's needs.
  • Completes critical aspects of deliverables and special assignments by determining priorities and managing time.
  • Tracks and manages any events, projects, and processes led by the Dean.
  • Monitors events and notifies relevant parties of competing or conflicting demands.

Enhancement of Dean's Office Environment and Communication

  • Maintains and stocks Associate Dean's office and ensures an organized and professional environment.
  • Reviews correspondence and aid in drafting notes, letters, and documents with supervisor to ensure “one voice” is heard.
  • Maintains regular communication with Dean's Office and other Departments to ensure policies and procedures are current and that deadlines are met.
  • Provides supervisor with information about issues that may need further clarification or communication from the Dean.
  • Provides administrative support to the Dean's Office when needed.
  • Gains cooperation of others while working as a team player.
  • Provides an inclusive, positive, encouraging atmosphere for all guests, faculty, students, and staff.
  • Professionally represents the Dean's Office at all times.


  • Bachelor's degree
  • 5 to 7 years of complex administrative and customer service experience
  • Familiarity with Microsoft Office - especially Word, Excel, and PowerPoint - and Google Suite
  • Excellent verbal and written communication skills
  • Ability to quickly adapt to changing circumstances and to confidently identify and manage priorities
  • Ability to exercise sound judgment in a diplomatic and to act in a discreet manner while working in a high profile environment
