ESSENTIAL JOB FUNCTIONS:
Administrative Support to the VP of HR
• Coordinate calendar and meeting schedule.
• Assist with BOD Reports, PPT presentation development and HR meeting preparations.
• Lead special administrative projects as needed.
• Process invoices as requested.
HRIS Administration
• Collect, receive and review all provided documentation for HRIS entry.
• Log all PAF changes using payroll processing form.
• Complete data entry in HRIS according to established payroll processing schedule.
• Provide periodic reporting and ad hoc reports as requested by HR team members.
• Provide advice, assistance and follow-up on HRIS related requests.
• Maintain confidentiality with regard to the information being processed, stored or accessed.
• Advise staff on appropriate HRIS actions that may periodically need to be completed e.g. leave requests.
HR Administration
• Reconciles HR bills and prepares invoices for signature.
• Completes E-Verify Process – I-9. 
• Assembles and maintains personnel files.
• Ensure that all information is appropriately filed in a timely manner.
• Checks HR mailbox and distributes to appropriate HR staff.
• Receives and completes supply orders.
• Responds to employment verification requests.
• Responds to pension inquiries and provides information for calculation requests.
• Participate in annual enrollment meetings.
Talent Acquisition Administrative Support
• Distribute interview schedules prepared by the HRBP with reception, hiring managers, team members, and/or anyone else involved in the interview process as requested.
• Greet applicants and provide escort to interview location.
• Respond or direct applicant inquiries to the appropriate HRBP.  These calls are sometimes forwarded to HR from the Call Center.
• Complete background check requests and maintain record of results.
• Complete mailing of Welcome and Offer Letters prepared by the HRBP.
• Work in conjunction with HRBP to request desk, computer and phone set up.
•  Request DataWatch badge and take photo of new hire – Business Services.
New Hire Orientation Coordination
• Reserve and prep rooms for new hire orientation
• Greet and receive new hire(s) upon arrival, show to orientation room.
• Receive and review all new hire documentation e.g. I-9, New Hire Registry and applicable tax forms for HRIS entry.
• Take photos for picture IDs and submit photos to Business Services for badges.         
Organizational Development
• Assist in managing the Human Resources Department SharePoint page to include posting, updating and ensuring all information is current to include announcements, HR  forms as well as creating engaging communications for the Enterprise

REPORTING RELATIONSHIPS AND SUPERVISORY RESPONSIBILITIES:
• This position reports directly to the Director, Benefits, Compensation and HRIS.

MINIMUM QUALIFICATIONS REQUIRED:
Education:   Bachelor’s degree in Business Administration; Human Resources; Organizational Development; Psychology; Counseling and Guidance or related field preferred.  Master degree a plus.

Experience:
3-5 years of progressively responsible administrative experience.
• Demonstrated experience in developing strong and cohesive partnerships with employees at all levels.
• ADP HRIS experience a plus.

Skills: 
• Demonstrated organizational, problem solving and people skills. 
• Excellent interpersonal, verbal, and written presentation skills. 
• HRIS knowledge required, resume tracking systems knowledge preferred and PC skills within a MS Office environment required. 
• Intermediate to advance Excel skills required.
• Demonstrated track record in providing efficient coordination and quality customer service in a fast- paced team environment.
•  Ability to set priorities
•  Excellent Customer Service skills
•  Must be able to work independently to include ability to make decisions independently
