Administrative Assistant II
Performs administrative and office support activities for one or more supervisors using independent application of knowledge of standard office methods and procedures. Duties may include timekeeping, fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, filing, scheduling routine meetings, producing and electronically distributing simple documents, maintaining a system for tracking the progress of work, performing simple screening and sorting of mail, acting as back up to other administrative positions, proofreading, and preparing of variety of standard forms for routing and approval. Basic skills in the use of applicable Microsoft software as well as basic Internet research capability, and strong communication skills. Engages in safety working practices and complies with Solid Waste safety programs and guidelines. Complies with the DPWES Safety Competencies. Performs other duties as required. Purchasing and Accounting
Ability to perform inquiries in Purchasing/Logistics Enterprise Resource Planning systems and/or Financial Enterprise Resource Planning systems.
Personnel and Payroll
Understanding of the basic SAP functions;
Ability to perform inquiries (e.g., check personnel data) in Human Capital Management Enterprise Resource Planning system.
Basic skills in the use of Microsoft Word.
Basic skills in the use of applicable Microsoft software.
Any combination of education, experience and training equivalent to high school graduation and one year of experience providing administrative support.
Knowledge of standard office administrative practices and procedures. Extensive experience and proficiency using basic Microsoft Word, Excel, and PowerPoint. Experience using automated technologies such as databases and Web-based online applications to enter, modify and pull data for reporting purposes. Extensive experience creating and managing spreadsheets/databases. Exceptional oral and written communication skills and the ability to pay attention to detail. The ability to exercise tact, discretion, and initiative. Well-organized, flexible, proactive, resourceful and efficient. Experience working independently with minimum supervision in a fast-paced, collaborative team environment with a strong commitment to customer service. Ability to juggle multiple projects with superb accuracy. Ability to operate a two-way radio. Experience monitoring a Fleet Tracking System. Advanced experience and skills working and navigating within an Enterprise Resource Planning System, such as SAP, Lawson, PeopleSoft, etc.
